Position: Associate Contracts Administrator ( Hybrid In Office / Telework )

FSA Federal (FSA) is focused on delivering unsurpassed services in support of law enforcement. We are seeking an Associate Contracts Administrator to join our team in support of government contracts within the law enforcement community. The ideal candidate is extremely organized, process-driven, comfortable with spreadsheets and data, and interested in growing into a federal contracts career. This role requires exceptional attention to detail, strong analytical skills, and the ability to work collaboratively with cross-functional teams.

The ideal candidate will have administrative support experience in business operations, contracts, and document management.

Summary of

Essential Job Functions:

  • Pre-Award.
    • Monitor GSA eBuy for potential new business opportunities.
    • Participate in drafting, submitting, and negotiating task order proposals.
  • Post Award
    • Perform full life cycle contract administration (cradle-to-grave) for multiple government contracts or task orders, with a low degree of complexity.
    • Assist with the administration of contracts through negotiation, correspondence, documentation, and financial reporting of prime contract task orders.
    • Data entry of key vendor and contractual information.
    • Prepare status reports and brief management on portfolio of contracts.
    • Provide procurement support to include the preparation and processing of purchase requests, orders
    • Maintain and update vendor management records to ensure timely creation, accuracy, and proper classification of active and inactive statuses.
  • Operations
    • Exercise judgement in making contractual decisions in the best interest of all key stakeholders.
    • Provide documentation planning and support, project administration, procurement support, etc., as required.
    • Prepare routine documents consistent with company processes and procedures.
    • Maintain operations consistent with policies and procedures; reporting needed changes.
    • Coordinate communication between various departments, distribute reports and keep all parties informed.
    • Perform routine data entry of personnel, candidates, and contractual information in ERP or company databases.
  • Specific projects and other duties as assigned.

Minimum Education Requirements

  • Bachelor's degree, business, finance, or related field. Or an associate's degree with 2 years' government contracting (Gov Con) administrative experience or HS diploma or GED with 4 years' Gov Con administrative experience.

Skills/Qualifications Required

  • Familiarity with MS Office suite, particularly Excel and Outlook. Knowledge of SharePoint a plus.
  • Effective oral and written communication skills.
  • Good organizational and problem-solving skills.
  • Ability to work independently and in a team environment.
  • Ability to work under pressure and meet tight deadlines.
  • Meticulous data entry skills
  • Highly organized: able to prioritize and complete simultaneous tasks.
  • Ability to grasp and understand the organization and functions of the Contracts & Procurement Department
