Scheduling Coordinator

The Scheduling Coordinator is responsible for creating, maintaining, and communicating employee schedules to ensure operational staffing needs are met while balancing labor requirements, employee availability, and business demands. This position works closely with managers, supervisors, and team members to support workforce planning, schedule accuracy, and staffing compliance.

Job Duties:
- Build, publish, and maintain employee schedules in workforce management systems. Ensure schedules align with staffing requirements, labor budgets, operational forecasts, and business needs.
- Process schedule adjustments, shift changes, and staffing requests in a timely manner. Monitor staffing levels and recommend solutions for coverage gaps.
- Review employee availability and ensure scheduling practices comply with company policies by maintaining accurate employee records, availability information, and scheduling documentation.
- Communicate schedule deadlines, updates, and staffing needs to managers and team members. Serve as the primary point of contact for scheduling-related questions and concerns.
- Partner with operational leaders to ensure adequate staffing for events, peak periods, and special projects. Coordinate staffing plans across multiple locations or departments when necessary.
- Generate staffing, labor, attendance, and scheduling reports. Track scheduling trends and identify opportunities for improved efficiency.
- Ensure schedule changes are documented and approved according to company procedures. Ensure proper staffing coverage while minimizing overtime and unnecessary labor costs.
- Verify schedules comply with company policies, labor laws, and departmental guidelines. Monitor employee availability compliance and support corrective action processes when necessary.
- Support audits and reviews related to workforce management and scheduling practices.
- Perform other duties as assigned
Qualifications:
- Must be 18 years of age or older.
- Minimum of 1 years of experience in scheduling, workforce management, administrative, food service, or a related industry
- High School/GED
- In accordance with Pennsylvania's Child Protective Services Law, candidates must be able to obtain and maintain a report of criminal history from the Pennsylvania State Police (PSP), Child Abuse History Clearance from the Department of Human Services (Child Abuse), and Fingerprint-based federal criminal history submitted through the Pennsylvania State Police or its authorized agent (FBI), as a condition of continued employment.
Knowledge, Skills, and Abilities:
- Skilled in the use of Google Suite and Microsoft Office applications, including Excel and Word.
- Proficient working with details on a daily basis for prolonged periods of time.
- Must have the ability to safeguard confidential information.
- Must have strong written and verbal communication skills.
- Ability to analyze staffing needs and make informed scheduling decisions.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience supporting large teams and multiple operational areas is a plus.
