Senior Administrative Secretary

Milton Hershey School (MHS) is one of the world's best pre-K through 12th grade private schools, where approximately 2,200 students from disadvantaged backgrounds are provided with a cost-free home and a top-notch career-focused education. Thanks to the generosity of Milton and Catherine Hershey in 1909, the school is fully endowed today, with the resources to ensure students can thrive. The school has prepared over 12,000 graduates to lead fulfilling and productive lives and is expanding to serve more students.

MHS is seeking a Senior Administrative Secretary to support the school's Learning Technologies Department. The Senior Administrative Secretary provides administrative support to the Director of Learning Technologies and plays a critical role in ensuring smooth operations for the department and the scholastics team. This is a year-round on-site position that compensates between $22.91 - $30.59 an hour (based on years of experience), plus an excellent benefits package.

Responsibilities include data entry for key educational software systems such as Student Information Systems, Learning Management Systems, and Library Management Systems. Manage and coordinate budget processing activities, including managing contracts, tracking expenditures, preparing budget documentation, and ensuring compliance with organizational financial procedures. Oversee application processing and software renewals to ensure operational continuity. Managing complex and dynamic scheduling and coordinating meetings.

Collaborating extensively within MHS and participating in committees as needed. Ensuring timely and effective communication with staff, students, and external partners. Preparing documentation including correspondence, reports, and presentations. Maintaining databases and ensuring records retention protocols are followed. Handling special projects such as supporting state assessment exams. Providing other administrative support to ensure the office operates efficiently and effectively.

High School Diploma or GED required. Minimum 3 years of administrative experience including financial administrative responsibilities. Proficiency with Microsoft Office, Google, and Apple, as well as data entry, databases, and office equipment. Basic understanding of the use of Artificial Intelligence to leverage improved work flows and processes. Strong interpersonal skills, including the ability to collaborate effectively. Excellent verbal and written communication skills.

Exceptional organizational and multitasking abilities, including an ability to proactively anticipate and prepare. Demonstrated professionalism, confidentiality, and commitment to high-quality customer service. A high degree of integrity, as all MHS staff serve as role models for students. Candidates should be "all in" and eager to engage actively with students.
