The Office Operations Assistant is a part‑time, on‑site role, 20–25 hours per week with flexible scheduling within a 9–5 window. Designed for an energetic, organized professional who loves keeping things running smoothly. If you take pride in the details and genuinely enjoy supporting people, this role is for you.

The Opportunity

We're looking for someone who takes ownership of the space around them — someone who notices what needs doing and does it before being asked. You'll be the connective tissue of our office, ensuring the day‑to‑day experience for our team and visitors is seamless, welcoming, and well‑run.

You’ll work across departments — Sales, Operations, and Finance — supporting the administrative and operational work that keeps the business moving. This role is part‑time, on‑site, and reports to the Operations Manager.

The Work Environment

This is a dynamic manufacturing environment, which means your day may include interaction with both production staff on the floor or remote non‑production team members across the country. Comfort with that range — and genuine enjoyment of it — is essential.

You’ll be based on‑site at our state‑of‑the‑art, 30,000 square foot, solar‑powered facility at San Felasco Tech City — a fast‑growing tech campus just outside of Gainesville and centrally located in Alachua County for an easier commute from across the region.

What You’ll Do Workplace and Office Support
  • Greet guests, visitors, and customers and assist with office hospitality
  • Support customer order pickups and onsite visitor needs
  • Prepare conference rooms and meeting spaces for meetings and events
  • Help maintain a clean, organized, and welcoming office environment
Office Operations
  • Restock snacks, beverages, kitchen supplies, and office essentials
  • Organize and put away deliveries and shipments
  • Maintain office organization throughout kitchens, storage spaces, and common areas
  • Monitor inventory levels and assist with supply ordering
  • Check and distribute incoming mail and packages
Facilities and Workplace Readiness
  • Support office upkeep including kitchen, break areas, and storage organization
  • Help maintain office plants and shared spaces
  • Assist with office safety readiness including first aid kits and workplace supplies
  • Coordinate with maintenance vendors and support facility‑related needs as needed
Team Culture and Events
  • Help coordinate team lunches and onsite activities
  • Support employee engagement initiatives and team events
  • Assist with onsite functions, meetings, and company gatherings
Administrative Support
  • Provide administrative support to cross‑functional teams including Sales, Operations, and Finance
  • Assist with data entry, record keeping, document organization, and maintaining internal tracking systems
  • Support customer and sales administrative processes including order documentation and file management
  • Assist with invoice processing, payment tracking, and administrative accounting tasks as needed
  • Utilize Quick Books and other internal systems to support operational and financial tasks as needed
