Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Johnson & Johnson is seeking an Executive Assistant to support the Janssen International Vice President in Miami, FL. The role involves managing executive schedules, travel, expense reporting, procurement, meeting logistics, and cross‑functional communication.
Responsibilities- Supervise and coordinate overall administrative activities for the Janssen International Vice President.
- Manage and maintain the VP’s schedule, including meeting coordination and daily prioritization.
- Arrange travel: issue tickets, book hotels, arrange ground transportation, and submit Congress or conference registrations.
- Prepare expense reports with required documentation for the IVP.
- Assist in procurement processes: create vendors, request purchase orders, pay vendors, and process invoices via internal systems.
- Collect, prepare, and report information for management use.
- Plan logistics for meetings and events (internal and external): invitations, venues, meals, hotel and transportation bookings, visual equipment.
- Collaborate with other administrative teams, leaders, and stakeholders to deliver on IVP business needs.
- Coordinate a small group of administrative assistants: enforce company policies, share information, manage vacation schedules, and oversee leaves of absence to ensure business continuity.
- Train new assistant members.
- High School diploma required;
Associate or Bachelor’s degree preferred. - Minimum 6 years of related experience.
- Advanced skills in reading, writing, and speaking English and Spanish or Portuguese.
- Excellent verbal and written communication skills with outstanding interpersonal abilities.
- Proficiency in Microsoft Office (Teams, Word, Excel, PowerPoint, Outlook). Proficiency with communication tools and portals (Our Source, Zoom, SharePoint, Workday, Concur) required.
- Demonstrated discipline, organization, and a positive “can‑do” attitude.
- Capability to work well in a dynamic environment and a team‑player mindset.
- Position eligible for overtime.
- Base salary range: $60,000.00 – $ USD annually.
