Position Title
Facility Coordinator
Position SummaryProvide general overall FM services including continuous monitoring of facility. Work with Facilities Manager to handle routine property management operations, procurement of supplies, issuing purchase orders, managing bid requests, processing accounts payable and receivables.
ResponsibilitiesDirectly support the Sr. Facility Manager with ongoing facility and team related responsibilities such as assisting with budgetary requests, analysis, reporting, researching and reporting budget variances, providing facility specific assistance to the project management team, acting as liaison to the finance team, supporting cost savings targets, processing invoices and purchase orders, supporting audits, coordinating maintenance activities, managing work requests, ensuring follow‑up with clients, vendors and team members, providing direction to vendors and staff, and serving as interface with clients, visitors and guests.
Maintain continuous monitoring of building services (janitorial, food service, coffee, parking, vending, conference rooms, workstations, furnishings, fixtures and equipment), coordinate special events, support meetings and conference room reservations, assist with operational reporting, budgeting, financial systems and purchasing, resolve spontaneous situations with professionalism and service orientation, ensure delivery of committed services, read and understand SLAs, achieve KPIs, score favorably on client satisfaction surveys, and continuously improve processes, systems and satisfaction.

Required Knowledge, Skills & Abilities (KSA)- Bilingual English/Spanish preferred.
- Must have Corrigo experience 2+ years.
- Superior customer service skills and orientation.
- Ability to maintain professionalism at all times under stressful situations.
- Ability to plan and manage work under time constraints.
- Multitask and work without direct supervision.
- Proficient in MS Office with strong written, verbal and people skills.
- Strong organizational skills and collaborative style.
- Proficient in Excel spreadsheets and ability to customize administrative reports.
- Ensure accuracy and timely updates to all database files (contacts, contracts, vendors, landlords, emergency files, invoicing, etc.) and recurring client and Sr. Facility Manager documentation and reporting requirements in support of all areas of Property Management Operations/Administration.
2+ years’ experience with Facility or Property Administration.
