About this role

Responsible for providing administrative support for student services and student activities on the western campuses. Assists with student events and special projects on and off-campus. This position requires the ability to travel and work a fluctuating schedule, including evenings and weekends.

Responsibilities
  • Perform administrative duties that require broad and comprehensive knowledge of the organization’s policies and operations.
  • Monitor and ensure proper handling of incoming correspondence and deliveries.
  • Manage outgoing mail, in‑house memos, and supplies distributions.
  • Provide administrative support functions such as scheduling use of conference rooms, appointments, meetings, making photocopies, scanning documents, and screening phone calls.
  • Prepare payroll, process electronic purchase orders, and assist with department budget activities.
  • Maintain the department website(s) using established web templates.
  • Design, edit, and produce brochures, catalogs, newsletters, logos, reports, flyers, posters, manuals or specialized publications.
  • Assist in the distribution of these items internally and externally.
  • Create new presentations using existing templates and files.
  • Make college‑related travel arrangements for students, staff, or supervisor.
  • Provide transportation to students for college events.
  • Determine need for office supplies, equipment, and materials; replace or purchase new office supplies and equipment as needed.
  • Select, maintain, store, and keep inventory for athletic and wellness equipment.
  • Travel to meetings, seminars and conferences outside of college locations.
  • Attend extracurricular, intramural and other cultural, social and community events as required.
  • Perform other job‑related duties as assigned.
Qualifications
  • Education:

    High school diploma or GED and one year of related experience.
  • Knowledge of Microsoft Office Professional or similar application.
  • Skill in delivering a high level of customer service.
  • Attention to detail while maintaining effective time and task management.
  • Effective verbal and written communication; ability to build relationships, manage expectations, and take responsibility for a high level of service.
  • Interact positively with diverse populations and varying education levels of students, faculty, staff, and the public.
  • Organize and prioritize multiple, competing priorities to maximize personal and team effectiveness.
  • Regular physical attendance required.
  • Valid Florida driver’s license.
Work Environment and Physical Demand

Fluctuating work schedule; travel to meetings, seminars and conferences; occasional muscle exertion, lifting 10‑25 lbs, stooping, bending, kneeling, crouching, crawling, standing or sitting for extended periods. Daily repetitive wrist, hand, finger movements; daily use of a video display terminal; daily oral, written, and verbal communication; occasional operation of a motor vehicle. Exposure to loud noise levels and outdoor work may occur.

Overtime eligibility may vary based on specific tasks.
