Procurement Specialist/Coordinator

Position Overview:

We are seeking a highly driven and experienced Procurement Specialist/Coordinator to lead and optimize our procurement and operational processes. This role requires a strategic thinker with strong leadership capabilities who can manage vendor relationships, oversee purchasing operations, and drive efficiency across supply chain and warehouse functions.

The ideal candidate is proactive, analytical, and solutions-oriented, with a proven ability to manage both high-level procurement strategy and day-to-day execution. This individual thrives in a fast-paced environment, takes ownership of outcomes, and leads by example to ensure operational excellence.

Key Responsibilities:

Procurement Leadership & Strategy:
  • Own and manage the end-to-end procurement process, including vendor sourcing, negotiation, purchasing, and performance management.
  • Develop and implement procurement strategies to optimize cost, quality, and delivery timelines.
  • Build and maintain strong vendor relationships while holding partners accountable to performance standards.
  • Analyze market trends, pricing, and competitor activity to inform purchasing decisions.
Operations & Inventory Oversight:
  • Oversee purchase order creation, invoice matching, and delivery tracking to ensure accuracy and timeliness.
  • Monitor inventory levels and coordinate with warehouse management teams to maintain optimal stock levels and avoid shortages or overstock.
  • Ensure all procurement transactions and inventory movements are accurately documented and auditable.
  • Lead quality control processes for incoming goods and resolve discrepancies with vendors.
Team Management &

Cross-Functional Collaboration:
  • Supervise and support administrative and operational staff within procurement and logistics functions.
  • Partner with warehouse, finance, and sales teams to align procurement activities with business needs.
  • Delegate tasks effectively while maintaining visibility into team performance and deliverables.
  • Foster a culture of accountability, efficiency, and continuous improvement.
Data Analysis & Process Improvement:
  • Analyze procurement, inventory, and operational data to identify trends, inefficiencies, and cost‑saving opportunities.
  • Develop and refine workflows to improve procurement and logistics efficiency.
  • Implement systems and best practices to streamline procurement operations and reporting.
Administrative & Operational Oversight:
  • Maintain organized systems for procurement documentation.
  • Oversee procurement shipment tracking, delivery coordination, and issue resolution.
  • Ensure compliance with internal processes and company standards.
  • Adapt quickly to changing priorities and proactively resolve operational challenges.

  • Experience with procurement, inventory, or ERP systems preferred.
  • Proven ability to negotiate with vendors and manage supplier relationships.
  • Strong organizational and multitasking skills with the ability to meet deadlines.
  • Experience in warehouse, logistics, or distribution environments strongly preferred.
  • High level of professionalism and discretion in handling sensitive business information.
  • Mandarin language proficiency is a plus; not required.
  • Experience in the smoke/vape industry is a plus; not required.
