HVAC Installer Coordinator

The HVAC Installation Coordinator is responsible for managing and coordinating residential HVAC installation projects from scheduling through completion. This role serves as the communication hub between customers, installers, salesmen, suppliers, and internal departments to ensure projects are completed efficiently, accurately, safely, and on schedule.

The ideal candidate is highly organized, customer-focused, and capable of managing multiple installation projects simultaneously in a fast-paced environment.

Requirements

Essential Duties and Responsibilities

• Schedule and coordinate HVAC installation jobs with sales, customers, and field installers.
• Communicate daily with installation crews regarding schedules, jobsite readiness, materials, and project updates.
• Review installation paperwork, permits, and job documentation for accuracy and completeness.
• Coordinate equipment deliveries and ensure materials are available prior to installation.
• Monitor installation progress and update schedules as needed.
• Serve as the primary point of contact for customers regarding installation timelines and questions.
• Work closely with sales, estimating, warehouse, and service departments to ensure smooth project execution.
• Enter and maintain job information within company software systems i.e. Service Titan.
• Process purchase orders, change orders, and installation-related documentation.
• Assist with warranty registrations and closeout paperwork.
• Track project completion status and ensure all required documents are submitted.
• Maintain professional communication with builders, general contractors, vendors, and homeowners.
• Support field teams with administrative and logistical needs.
• Ensure company policies, safety procedures, and customer service standards are followed.
