OverviewAs the Dean’s Office Assistant, you will support the Dean, faculty, and the broader Duke Law community by providing high‑level administrative support, managing office operations, coordinating scheduling, handling confidential information, and assisting with faculty committees and procurement tasks.
Responsibilities Administrative & Office Operations- Serve as the Dean’s Office liaison with Law School administrative personnel, university offices, and external agencies.
- Provide general administrative support to the Dean’s Office.
- Provide backup administrative support to the Assistant to the Dean.
- Maintain files, records, reports, and correspondence.
- Greet visitors and manage traffic into the Dean’s Suite.
- Answer and manage the Dean’s Office telephone line.
- Manage scheduling for the Nasher Conference Room.
- Demonstrate exceptional professionalism, confidentiality, and interpersonal skills.
- Serve as a courteous, respectful, and polished first point of contact for the Dean’s Office.
- Provide administrative support to key faculty committees.
- Support faculty reappointment processes.
- Assist with adjunct faculty onboarding.
- Compile information for the University Bulletin.
- Support Professional Skills Appointments hiring searches.
- Process procurement card purchases, travel, requisitions, and reimbursements.
- Verify and reconcile expenditures.
- Maintain accurate financial records.
- Assist with special projects and programs.
- Perform other duties as assigned.
- Two years of post‑secondary education in secretarial science or a related business field.
- Four years of related secretarial/clerical experience, or an equivalent combination of education and experience.
- Proficiency in Microsoft Office Suite.
- Excellent interpersonal and communication skills.
- Exceptional organization and problem‑solving abilities.
- Ability to manage multiple deadlines.
- Strong attention to detail and follow‑through.
- Ability to work independently and collaboratively.
Annual base salary range: USD $19.80 to USD $30.63. Total compensation includes comprehensive medical/dental plans, retirement benefits, and family‑friendly programs.
