Position Summary

Dukes Properties & Construction is a boutique real estate development, construction, and investment company specializing in ground-up residential construction, mixed-use and historic renovations, commercial construction, land development, and value-add redevelopment projects throughout North Carolina.

We are seeking a highly organized, proactive, and solutions-driven Finance & Purchasing Manager to oversee daily office operations while managing purchasing, accounts payable, vendor relationships, and project administration.

This position serves as the operational hub of the company, supporting leadership, project managers, and field operations to ensure projects move efficiently from planning through completion. Success in this role requires ownership, attention to detail, urgency, strong organizational skills, and the ability to manage multiple priorities simultaneously.

This is an on-site position based in our Raleigh office and requires availability 35-40 hours per week.

Primary Responsibilities

Office Operations

  • Manage daily office operations and administrative functions.
  • Coordinate calendars, meetings, and leadership support.
  • Manage incoming mail, deliveries, visitors, and office organization.
  • Maintain physical and digital filing systems.
  • Coordinate office vendors, utilities, subscriptions, and facility needs.
  • Support onboarding and administrative setup for new team members.

Accounts Payable

  • Process vendor invoices accurately and on time.
  • Track payment deadlines and outstanding balances.
  • Reconcile accounts payable records.
  • Coordinate with accounting to ensure accurate financial reporting.
  • Maintain organized AP documentation and audit-ready records.
  • Monitor recurring utility and vendor payments.

Purchasing & Procurement

  • Obtain vendor pricing and evaluate competitive quotes.
  • Issue and manage purchase orders.
  • Coordinate material purchasing and deliveries.
  • Track orders from purchase through delivery.
  • Resolve shortages, delays, returns, and warranty issues.
  • Identify cost-saving opportunities through vendor management.
  • Maintain purchasing reports and cost tracking.

Vendor Management & Compliance

  • Build and maintain vendor relationships.
  • Onboard new vendors.
  • Collect and maintain W-9s, Certificates of Insurance (COIs), and licensing documentation.
  • Maintain subcontractor databases.
  • Ensure vendor compliance before work begins.
  • Serve as the primary purchasing contact for vendors.

Insurance & Risk Management

  • Maintain Company insurance records.
  • Track Builders Risk, General Liability, Workers' Compensation, Auto, Umbrella, and project-specific policies.
  • Verify subcontractor insurance compliance.
  • Maintain COIs for all active vendors.
  • Assist with insurance audits and documentation.

Project Administration

  • Administer Job Tread and company project management systems.
  • Create and manage project purchase orders.
  • Support project managers with documentation and contracts.
  • Monitor project purchasing against budgets.
  • Maintain organized project files.
  • Assist with reporting and project cost tracking.

Property Management Support

  • Assist with administrative oversight of the Company's stabilized portfolio.
  • Review rent rolls and owner reports.
  • Track lease expirations and renewals.
  • Review vendor invoices and operating expenses.
  • Maintain organized property records and documentation.
  • Support third-party property management coordination.

Qualifications

  • 3+ years of office management, purchasing, construction administration, or operations experience preferred.
  • Experience in real estate, construction, development, or property management strongly preferred.
  • Highly organized with exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong problem-solving and decision-making abilities.
  • Professional and customer-service oriented.
  • Proficient with Microsoft Office and Google Workspace.
