The Fleet Operations Specialist supports the day-to-day administration, compliance, and operational needs of a company fleet. This role is responsible for maintaining regulatory compliance, managing fleet records, supporting driver safety initiatives, coordinating vehicle maintenance, and ensuring fleet assets remain operational and compliant.
Key Responsibilities:Fleet Compliance & Safety
- Maintain driver qualification files, licenses, medical certifications, and related compliance documentation.
- Monitor compliance with DOT, FMCSA, and state regulations.
- Coordinate DOT drug and alcohol testing programs and maintain related records.
- Monitor Hours of Service (HOS) compliance and provide guidance to drivers as needed.
- Review fleet telematics and electronic logging data for compliance and operational efficiency.
- Conduct driver audits and maintain accurate compliance records.
- Assist with driver safety training and ongoing compliance education.
- Support accident investigations and coordinate with insurance providers and repair vendors.
- Manage fleet data and ensure accurate recordkeeping across fleet management systems.
- Coordinate vehicle registrations, permits, and related documentation.
- Prepare vehicles and equipment for onboarding, reassignment, and deployment.
- Conduct inspections of vehicles and trailers to ensure readiness and compliance.
- Schedule and coordinate vehicle maintenance and repairs.
- Track fleet assets, fuel cards, toll accounts, and other fleet-related resources.
- Maintain availability and readiness of spare vehicles.
- Assist with fleet-related onboarding activities for new employees.
- Generate reports and maintain accurate fleet records.
- Support special projects and process improvement initiatives within the fleet department.
- Serve as a liaison between drivers, vendors, internal departments, and management.
- Provide timely and professional support to drivers, vendors, and internal stakeholders.
- Respond to inquiries regarding fleet policies, procedures, and vehicle-related issues.
- Build and maintain positive working relationships with employees and external partners.
- Communicate effectively regarding compliance requirements, safety initiatives, and operational updates.
Education & Experience
- Experience in fleet operations, transportation, logistics, safety, or a related field preferred.
- Working knowledge of DOT and FMCSA regulations, Hours of Service requirements, driver qualification files, and transportation compliance.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize work, manage multiple tasks, and meet deadlines in a fast-paced environment.
- Strong problem-solving and analytical skills.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Experience with fleet management, telematics, GPS tracking, or transportation software preferred.
- Ability to work with compliance, reporting, and recordkeeping systems.
