Position: Office Operations & Administrative Coordinator (Experienced Preferred)

Griswold Care Chicagoland is a family-owned home care agency seeking an experienced Office Operations & Administrative Coordinator to manage daily office operations, administrative workflows, and compliance support. This role is ideal for a seasoned administrative or operations professional with experience in home care, healthcare administration, or compliance-driven environments.

Key Responsibilities
  • Oversee daily office operations and administrative processes
  • Maintain accurate and compliant caregiver and client files
  • Track caregiver credentials, licenses, expirations, and compliance requirements
  • Support HR and hiring processes, including onboarding and documentation
  • Experience with Hireology, Docu Sign, Ally preferred
  • Maintain IDPH compliance binders and required documentation
  • Answer and manage main office phone lines professionally
  • Greet caregivers, clients, and walk-in visitors
  • Track employee PTO and sick time to ensure adequate coverage
  • Order office supplies and maintain office equipment (printers, fax, scanners)
  • Ensure marketing packets, applications, and fee schedules are stocked
  • Support care coordination and scheduling operations as needed
Qualifications (Experience Preferred)
  • 2+ years experience in office management, administrative operations, healthcare administration, or HR coordination
  • Experience in home care, healthcare, or regulated environments strongly preferred
  • Strong understanding of compliance, documentation, and confidentiality (HIPAA)
  • High attention to detail with strong organizational skills
  • Ability to manage multiple priorities independently
  • Proficiency in Microsoft Word and Excel
  • Experience with digital document management systems
  • Professional, dependable, and customer-service oriented
  • Comfortable working in a fast-paced, growing office
Schedule
  • Monday-Friday, 9:00 AM-5:00 PM
  • With Remote Flexibility
