Our 36-acre park is home to North America’s longest-running outdoor music festival and its most artistically diverse. Over 100 different events, featuring a mix of classical, rock, pop, jazz, R&B, indie, and country performers, make up a typical summer season across our open-air and indoor stages, including the annual residency of the Chicago Symphony Orchestra.
Position SummaryThe VIP Ticket Supervisor is a seasonal, full time position in the Guest Experience department. This position reports directly to the Manager of VIP Ticket Services and works primarily with the ticketing and fundraising teams. They provide hands-on support for VIP and donor ticketing matters leading up to and throughout the Ravinia concert season. Key responsibilities include upholding Ravinia's values and organizational culture by fostering an extraordinary guest experience and delivering VIP guests with an unparalleled ticketing experience.
The ideal candidate has a passion for the arts and working with people, is highly organized, and has exceptional communication and relationship building skills.
- Guest Experience & Donor Relations:
- Ensure a seamless ticketing experience for all Ravinia donors, VIP patrons, and guests
- Foster an exceptional guest experience for VIP guests and donors through proactive face-to-face engagement during concerts and ongoing communication
- Maintain a positive and energetic demeanor while managing multiple guest interactions in a fast-paced environment
- Greet guests at multiple entrance gates to create a positive first impression for donors
- Manage donor correspondence via phone, email, and in-person interactions
- Manage the outgoing non-profit donation request program
- Support the management and fulfillment of donor ticket and dining reservation waitlists
- Collaborate with other departments to oversee and process ticketing requests
- Maintain up-to-date donor seating requests prior to spring donor ticket sales
- Collaborate with the events team to ensure ticketing and invoicing requirements are met for group events
- Fulfill ticketing needs for Ravinia’s auxiliary boards and board groups
- Training & Systems Support:
- Help lead pre-season ticketing training sessions ahead of spring donor sales
- Provide ongoing training and support on ticketing software as needed
- Provide analytical support by building and generating business intelligence reports
- Support the Development and Guest Experience departments as needed
- Other duties as assigned.
- Strong interpersonal, communication, and customer service skills, with the ability to build rapport and resolve patron needs professionally
- Calm, positive, and solution-oriented under demanding circumstances
- Highly organized, detail-oriented, and able to manage multiple tasks and priorities independently
- Adaptable and flexible, with a willingness to learn new systems, processes, and responsibilities
- Proficient with Google Workspace and comfortable working with numbers and data accuracy
- Reliable and dependable, with availability to work a flexible schedule including nights, weekends, and holidays
- Experience in donor relations or customer service is a plus
- Experience in a related position, preferably in an arts environment/institution, not-for-profit or community organization
- Experience and knowledge of Ravinia and its policies is a plus
