Supervisor of Executive Support Description

Work Schedule:

Full Time, 80.00 hours per pay period (2 weeks)

Pay: $38.72 - $58.08 / hour. Pay is dependent on applicant's relevant experience

Job Summary

The Supervisor of Executive Support provides high level administrative support to executive leadership while supervising and coordinating the work of Executive Administrative Assistants. This role serves as a key point of contact for internal and external stakeholders, ensures consistent and professional administrative coverage across the executive office, and may serve as a liaison to the Board of Directors. The ideal candidate combines strong leadership and organizational skills with sound judgment, discretion, and the ability to manage competing priorities in a fast-paced environment.

This position is an onsite role and does not offer a hybrid or remote option.

Essential Duties And Responsibilities Executive Support
  • Provides comprehensive administrative support to one or more executives, including correspondence, document preparation, and information management.
  • Serves as the first point of contact for inquiries directed to the executive office; screens, triages, and resolves questions or concerns, escalating as appropriate.
  • Exercises independent judgment to resolve routine and non-routine administrative problems, referring complex or sensitive matters to the appropriate executive.
  • Maintains calendars, schedules appointments, and coordinates travel arrangements for supported executives.
Supervision of Executive Administrative Assistants
  • Recruits, hires, onboards, and supervises Executive Administrative Assistants; sets performance expectations and conducts regular check-ins.
  • Ensures timely completion of performance evaluations, provides coaching and constructive feedback, and addresses performance concerns as needed.
  • Schedules and manages office coverage to ensure administrative support is available across all required hours, including planning for absences and peak periods.
  • Fosters a collaborative, professional team environment and promotes consistent administrative standards and practices.
Board of Directors and Meeting Support
  • May serve as the initial point of contact for Board of Directors' inquiries and requests, ensuring timely and professional responses.
  • Oversees preparation, compilation, and distribution of board agenda packets and supporting materials in advance of meetings.
  • Coordinates logistics for board and executive meetings, including scheduling, room/technology setup, and materials preparation.
  • Transcribes and prepares accurate meeting minutes; maintains official records of meetings and follows up on action items as needed.
Additional Responsibilities
  • Assists with planning and execution of organizational events, meetings, and special projects.
  • Supports calendar maintenance and scheduling for the broader executive office as needed.
  • Performs other duties as assigned within the scope of the position.
Knowledge, Skills, And Abilities
  • Strong critical thinking skills and the ability to exercise decisive, sound judgment on matters of varying complexity and sensitivity.
  • Demonstrated ability to work independently with minimal supervision while managing multiple priorities.
  • Ability to remain composed, organized, and effective in a fast-paced environment, taking timely and appropriate action as situations arise.
  • Strong leadership, coaching, and team-management skills.
  • Excellent written and verbal communication skills, including experience preparing formal correspondence and meeting minutes.
  • High degree of discretion and professionalism when handling confidential or sensitive information.
  • Proficiency with standard office software, scheduling tools, and database systems.
Requirements
  • Minimum Required

    Education:

    High School diploma or GED.
  • Required Experience:

    Minimum of two (2) years of executive administrative support experience.
  • Prior experience supervising or leading other administrative staff preferred.
  • Experience supporting a Board of Directors or senior leadership team preferred.
