- Coordinate and provide patient support services, including answering phones, directing calls, greeting patients and visitors, maintaining medical records, assisting with scheduling, performing office functions, and handling patient payments.
- Greet, register, and check in patients; update demographics and insurance coverage in the computer system.
- Answer patient calls, take and relay messages or scripted care directions, respond to inquiries, and communicate with referring physician offices.
- Perform check-out processes, including co-pay collections, return-visit scheduling, after-visit summaries, and follow-up test coordination.
- Document patient-support activities accurately.
- Monitor patient wait times and notify nurses, leads, or managers about excessive waits.
- Open and route mail; distribute correspondence, reports, and office supplies; mail form letters.
- Track and record patient information or program data.
- Request and handle referrals and medical records from referring offices.
- Schedule appointments when directed.
- Maintain the cash drawer, reconcile daily cash, prepare bank deposits, and complete deposit paperwork where assigned.
- Contact insurance companies to obtain registration or procedural pre-certifications as assigned.
- Use job-related software and systems.
- Travel to other clinical facilities may be required to accommodate staffing levels.
- Perform other duties or special projects as assigned.
- High school diploma or equivalent
- One year of customer service experience
- Problem-solving skills
- Ability to manage multiple priorities
- Ability to convey information in writing and verbally
- High interpersonal skills for handling sensitive and confidential situations
- Exceptional customer service skills
- Ability to use job-related software and systems
- Ability to travel to other clinical facilities when required
