Distinguishing Job Characteristics

The Operations Support Coordinator works directly with the Vice President of Enrollment and Workforce Innovation, supporting projects and initiatives within the scope of work, including but not limited to the Ohio Code Scholar (OCS) program. The individual in this role will work with internal and external stakeholders associated with the OCS program. This individual will represent the program and the College with professionalism, efficiency, and confidentiality.

This position requires a high level of administrative organization, attention to detail, competency in project management, and budget administration. Employment is contingent upon ongoing grant funding and performance.

Essential Duties and Responsibilities
  • Maintain a program database for the Ohio Code Scholar program, including student information, school progression in hitting milestones and details about participating districts.
  • Assist in organizing and planning programs associated with the Ohio Code Scholar program and Workforce Development, including special event planning and coordination, workshops, seminars, or other gatherings.
  • Provide event support, including necessary facilities, equipment, and contractor reservations for workshops and celebrations. Assist with on-site check-in, set-up, and clean-up. Coordinate with vendors, caterers, and guest speakers.
  • Input and manage program participation data and provide reports as required. Assist in preparing summary reports for program surveys. Compile results for the program evaluation and reporting.
  • Gather quotes, order materials, ship to the correct address with correct quantities, store ordered equipment, and work through the procurement and accounts payable process.
  • Assist in preparing grant applications or compliance reports; organize files, maintain records, and handle confidential information.
  • Collaborate with other departments and schools to improve enrollment, retention, and completion for students graduating and having participated in the OCS program.
  • Manage the Vice President of Enrollment and Workforce Innovation’s calendar and schedule meetings as required; monitor incoming communications (email, telephone, and text messages) and manage information desk (switch board) activities as needed.
  • Identify process improvements to save time and resources while keeping both the Ohio Code Scholar program and Workforce Development projects and events on schedule and on budget.
  • Maintain positive public relations with students, parents, the general public, and other internal and external contacts. Provide routine information and answer general questions.
  • Collect and maintain data relevant to the participation, satisfaction, and outcomes of students and schools participating in the Ohio Code Scholar program and other related workforce development initiatives.
  • Work an assigned schedule (including early mornings and evenings as needed). Exhibit regular and predictable attendance and work as required to meet workload demands and occasional travel.
  • Provide instructional support and guidance to participating educators implementing Ohio Code Scholar projects, including STEM, computer science, engineering, robotics, and other related learning activities.
  • Assist educators in meeting program milestones and project requirements by providing coaching, resources, and technical assistance throughout the academic year.
  • Support the successful implementation of classroom activities and student projects by collaborating with participating schools, educators, and program staff to address challenges and identify solutions.
  • Manage and maintain the Ohio Code Scholar Learning Management System (LMS), including course content, educator communications, assignment distribution, and resource management.
  • Input, update, and organize curriculum materials, project resources, and instructional content within the LMS to support participating educators and students.
  • Monitor educator participation, task completion, and progress toward program milestones. Provide follow-up communication and support as needed to ensure successful project completion and compliance with program requirements.
