Accounting & Operations Manager

The Accounting & Operations Manager oversees financial management, grant compliance, HR administration, and organizational operations to ensure transparency, efficiency, and strategic support for FPGWC.

Job Summary:

The Accounting & Operations Manager ensures the financial integrity and operational effectiveness of Family Promise of Greater Washington County (FPGWC) by overseeing accounting processes, vendor procurement, and organizational systems. This role manages compliance with fiscal policies, GAAP, federal Uniform Guidance, and funder regulations, collaborates closely with Jitasa (FPGWC's external accounting partner), and prepares accurate budgets, reports, and grant invoicing to sustain organizational accountability and transparency.

In addition to financial oversight, the position directs procurement and facilities‑related operations, administers benefits, and manages organizational systems that support day‑to‑day efficiency. Working in partnership with the Executive Director, staff, and external partners, the Accounting & Operations Manager plays a key role in strengthening FPGWC's infrastructure, ensuring compliance, and fostering a positive, inclusive work environment.

Essential Duties:
Accounting and Financial Management Support (50%):
  • Consistently monitor internal expenses to ensure compliance with FPGWC fiscal policies & procedures, as well as with government & private funder regulations.
  • Assist in design/maintenance of internal controls to confirm that all expenditures are necessary, reasonable, allowable, allocable, and properly documented.
  • Ensure compliance with internal controls and regulations (e.g. GAAP, Uniform Guidance 2 CFR 200)
  • Manage and maintain strong relationships with Jitasa (FPGWC's external accounting partner) and any other external funding partners.
  • Prepare and ensure timely submission of reimbursement‑based grant & contract invoicing/billing to funders per award terms.
  • With leadership from the Executive Director, draft annual/six‑month department & project‑specific budgets, track expenditures within the budget, refine budgeting methodology, and develop tools to improve accuracy and efficiency.
  • Review and analyze monthly financial reports for operational oversight, and produce financial and metrics reports for funders and leadership to support forecasting, strategic planning, and informed decision‑making.
  • Manage and facilitate ongoing third‑party bill‑pay processes through  per FPGWC fiscal policies & procedures, as well as relevant funder regulations.
Organizational Operations (30%):
  • Manage vendor relationships by securing bids, negotiating terms, and maintaining approved vendor records in alignment with FPGWC procurement policies.
