Events Specialist

As an Event Specialist, you will be responsible for partnering with our commercial teams globally to support and/or plan a variety of small to mid-sized events and activities for the Material and Structural Analysis Division. Key focus in this role is to drive event logistics related to customer facing events, workshops, symposia, local commercial exhibitions, but also one-off webinars if required.

This position is ideal for somebody who has professional communication and project management skills and is passionate about the dynamic interaction between internal and external stakeholders while delivering the Thermo Fisher Scientific experience to our customers. The Events Specialist will actively collaborate with our logistic partners and 3rd party event organizers and utilize the Event Management Tool to keep track of all planned events and conferences as part of our annual Events plan, with the goal of driving demand and return on investment.

You will report into the Senior Events Manager.

Responsibilities:

  • Manage commercial events including but not limited to: trade show participation, local/regional conferences, symposia, local workshops and user meetings, digital Events and webinars.
  • Secure timely booth and venue arrangements for small to mid-sized commercial Events: coordinate the production, maintenance and schedule of booth materials (booth graphics/portables, pop-ups, furniture, services, etc.), manage all required shipping and storage requirements
  • Coordinate/host event planning calls with business stakeholders to solidify event goals and objectives, prepare for decisions and ensure project alignment
  • Coordinate the production of marketing tactics if required for each stage of the event.
  • Coordinate hotel and transportation logistics for event attendees and staff (includes; venue selection, contract negotiation, execution and budget reconciliation); as well as manage the approval process for attendees per event.
  • Capture and publish events on the Global Events Calendar
  • Manage event registration tools
  • Budget management for event and/or marketing budgets: communicate budget status on a regular basis; and timely and accurate management of invoices; including approval for payment, reconciliation against planned and actual performance, and estimated accrual totals at end of each quarter.
  • Ensure leads are processed efficiently and delivered to MSD Analytics team in line with lead handling processing and GDPR guidelines.
  • Execute and conduct post event reporting including; customer and staff feedback, ROI metrics, budget analysis and post-event recommendation for future decisions on participation
  • Align within the overall Global MSD Events Team to ensure processes are in place.
  • Provide (admin) support to BU Event Managers if required

Educational qualifications:

  • Bachelor's degree events/hospitality/marketing and/or related field is preferred or an equivalent combination of education and experience with event and/or project management.
  • Certified Trade Show Management (CTSM) and/or Certified Meeting Planner (CMP) certification preferred

Experience qualifications:

  • 2+ years of marketing communications and/or event management experience in a business-to-business environment, with an understanding of industry practices, preferably for a U.S. based company. Industrial market experience a plus.

Skill requirements:

  • Strong project management, attention to detail, prioritization and decision-making skills
  • Professional use of project management software and standard Microsoft Office applications such as Outlook, Excel, Word, MS Project, Power Point. (Knowledge of Microsoft Dynamics is a plus)
  • Superior written and oral communication skills with the ability to interact professionally with a diverse group, executives, managers, and subject matter experts.
  • Proficiency in event planning software (Cvent a plus)
  • Digital event experience
  • Understanding of exhibit house processes
  • Strong contract negotiation skills
  • Experience with budget management and financial tracking
  • High level of intensity and comfort level with change
  • Must be able to concentrate and perform accurately – often under very short deadlines and stress
  • Have a cooperative team approach but also able to work independently
  • Superior interpersonal/relationship skills with strong customer orientation – intercultural experience a plus
  • Able to lift and transport at least 15-20kg of weight
  • Ability to travel up to 25% domestically and internationally with valid passport
  • Hospitality industry and destination knowledge is an advantage
  • Additional conversational language skills are considered as an advantage for interaction within the region
