Onsite in Hillsborough | Flexibility to Travel Between Northern California Properties

A private UHNW family is seeking an experienced, highly proactive Estate Manager / Personal Assistant to oversee the day-to-day operations of their primary residence in Hillsborough
, while supporting a small portfolio of additional properties throughout Northern California. This role is ideal for a hands-on, detail-oriented professional who takes true ownership of their work, anticipates needs before they arise, and thrives in a fast-moving, high-touch household environment. The Estate Manager/Personal Assistant will serve as a central point of coordination across properties, working closely with household staff, vendors, and external partners to ensure seamless operations, consistency, and discretion.

Key Responsibilities
  • Oversee daily operations of the Hillsborough residence, ensuring all interior and exterior spaces are maintained to the highest standards
  • Manage household systems, vendors, and service providers to ensure smooth, proactive operations
  • Coordinate renovations, landscaping, and home improvement projects across the family’s properties
  • Serve as a key liaison between on-site staff, off-site vendors, and leadership to maintain alignment and efficiency
  • Anticipate household needs and ensure all residences are consistently family-ready and guest-ready
  • Travel between properties as needed to prepare homes for family arrivals and special occasions
  • Manage vendor relationships, schedules, contracts, budgets, and quality control
  • Maintain detailed documentation, timelines, and follow-through across all projects and properties
  • Provide ad hoc personal assistant support, errands, and project coordination as needed
  • Uphold a warm, professional, and highly discreet household culture
  • Operate with flexibility, initiative, and a hands-on mindset, no task too big or small
Qualifications
  • Proven experience as an Estate Manager, House Manager, or similar role within UHNW private households
  • Strong background in home operations, project management, and vendor oversight (including renovations)
  • Highly proactive, detail-driven, and solution-oriented with exceptional follow-through
  • Comfortable managing multiple properties, priorities, and stakeholders simultaneously
  • Polished communicator who works seamlessly with principals, staff, and vendors
  • Calm, confident, trustworthy, and discreet
  • Flexible and self-directed, with the ability to anticipate needs without constant direction
  • Willingness and ability to travel between Northern California residences as needed
