The Administrative Travel Specialists provide comprehensive travel administration support for Naval Special Warfare Group EIGHT Headquarters and subordinate commands (one Echelon III staff, and eight Echelon IV commands geographically dispersed across Virginia Beach, Virginia; Coronado, California; and Pearl City, Hawaii). This role ensures accurate, timely, and compliant processing of travel authorizations, vouchers, and reimbursements in support of military and civilian personnel.
The position directly contributes to mission readiness by maintaining compliance with federal travel regulations and supporting travelers before, during, and after official travel.
- Review and correct travel documentation and maintain data from the Defense Travel System (DTS).
- Perform administrative services and assist with the Naval Special Warfare Defense Travel System daily deployment reporting input and verification status updates.
- Responsible for all Temporary Assigned Duty (TAD) travel requests and “no costs orders” for command personnel.
- Process data from Defense Travel System (DTS) reports.
- Responsible for assisting with military and civilian travel payments, voucher preparation, and administrative maintenance of the Defense Travel System (DTS).
- Analyze and audit travel reimbursement vouchers for completeness and accuracy.
- Screen and verify all receipts for vouchers in the Defense Travel System (DTS).
- Serve as a liaison with the Consolidated Travel Office (CTO) for arrangement of travel to localities internal and external to Continental United States (CONUS) and Outside Continental United States (OCONUS) operations.
- Assist in processing the submissions of travel vouchers via the Defense Travel System (DTS) by military and Department of Defense (DoD) civilian personnel after receiving travel claims. Ensure vouchers are correct and comply with Joint Travel Regulations (JTR). Contacts travelers regarding receipt or erroneous documentation required for payment processing.
- Provide technical travel and Defense Travel System (DTS) guidance to military personnel for deployments and special exercises. Responsible for training travel personnel in a high turnover environment.
- Serve as a Non-Defense Travel System Entry Agent (NDEA).
- Serve as an alternate Agency Program Coordinator (APC) supporting all functions associated with the Government Travel Charge Card (GTCC).
- Track, follow‑up and file documentation that supports letters of appointment (DD577).
- Review and route cross‑organizational requests for approval.
- Monitor travel and Government Travel Charge Card (GTCC) balances for the NSWG‑8 senior leadership command.
- Assist the Agency Program Coordinators (APCs) with Government Travel Charge Card (GTCC) functions.
- Must hold an active Secret Security Clearance
- Valid U.S. driver’s license
- Minimum 4 years of DoD travel processing experience within the past 10 years
- Minimum 4 years' experience with Microsoft Windows and Microsoft Applications such as Excel, Word, PowerPoint and other related programs within the past 10 years
- Be able to operate a Personal Computer (PC) with common/standard business software programs. This includes, but is not limited to, proficiency in Microsoft Office applications to include Word, Outlook, Excel, and Power Point
- Be able to enter data into multiple databases accurately and ensuring data is maintained IAW controlling policy and regulation
- Be able to ensure consistency and appropriate cross‑referencing for newly entered and previously entered data
- Be able to retrieve data and use data to respond to a variety of customer and vendor inquiries
- Be able to compile and analyze data to identify trends, deficiencies, and accomplishments related to the assigned programs
- Be able to perform research to determine reasons for patterns of transaction errors and failures
