Job Purpose
The ʻOhana Engagement Specialist I provides administrative operations and program support for Early Childhood (EC) initiatives which supports families with young Native Hawaiian children aged 0-5. The ʻOhana Engagement Specialist I supports daily operations and program activities to ensure the efficient and smooth delivery of EC services. The ʻOhana Engagement Specialist I will also work with the program team to develop, implement and evaluate innovative and impactful programming for our families.
This position provides island-wide support, including the delivery of programs and services across multiple sites.
Administrative Support
- Responsible for customer service, assisting with incoming calls, messages, and creating a welcoming environment for guests and teammates. Assess the condition of facilities and supports ensuring cleanliness and safety of facilities, with particular attention to child centered spaces.
- Oversees incoming/outgoing mail.
- Manage key inventory: tracking usage, securing keys in lock box, etc.
- Provides direct support to teammates on the following:
- Day Force (timesheets for non-exempt staff, FTO/PTO, etc.)
- Travel arrangements for programs
- Provide technical support to staff (laptops, xerox, LT software programs, Zoom accounts, etc.)
- Filing (hardcopy/digital) (ie. Hoʻokele)
- CRM administration for Program contacts/resources
- ELTON, IT Tech Library system administration.
- Maintains and updates staff emergency contacts
- Processes purchase orders and invoices for programs and operations through LT systems (Net Suite, Concur, Ramp, etc.).
- Ensures the cleanliness and safety of program spaces, including outdoor spaes, closets, and storage units.
- Oversees all aspects of agency vehicles, including refueling, parking, keys, safety checks, insurance, registration, cleaning, and tracking mileage for annual reports.
- Assist with meeting and overall documentation, including detailed note-taking, capturing key program content, and identifying opportunities for process improvements to enhance program efficiency and effectiveness.
Program Support
- Ensures the cleanliness and safety of program spaces (on/off site)
- Provides logistical support for program activities/events (set-up, clean-up, transportation, meals/snacks, supplies, material packets, sign-in, etc.).
- Provides program assistance as needed:
Transportation (assist as van drivers), program activities and implementation, chaperone on huaka’i or during activity/event, providing access to IT equipment for kamali’i, etc. - May support with other EC programs (e.g. Kīhene Lehua) as needed.
Other duties
- Supports with referrals to/from LT’s Mālama Line.
- Contributes to the Trustʻs success by accepting new assignments, helping team members, learning new skills, and striving to improve team and organization results.
- Participates in continuing education and training opportunities for professional development.
- Performs other duties as assigned.
Qualifications
- 2 years of administrative experience preferred.
- 1 year of working in the early childhood field with parents and young children preferred.
- Preferred candidates will be highly organized, adaptable, and willing to take on a variety of tasks as needed. A positive attitude and a commitment to providing support in any capacity to ensure the success of EC initiatives and programs are essential.
- Ability to work evenings, weekends and occasional holidays as needed. Ability to travel as needed.
- Valid driver license, clean traffic abstract, and access to a privately owned automobile with valid no-fault insurance.
- TB clearance.
- First Aid and CPR/AED Certification preferred.
