Job Description

Support the day-to-day operations of Hilo Benioff Medical Center’s Environmental Services and Laundry Department in a role that keeps schedules, records, supplies, and administrative processes running smoothly. As a Secretary I, you will provide essential clerical and secretarial support to department leadership while helping ensure staff have the information and resources they need to deliver quality services throughout the hospital.

Key Responsibilities
  • Maintain monthly staff schedules, obtain required approvals, enter schedules into the time management system, and assist employees with timecards, vacation requests, sick time, and timecard exceptions.
  • Manage departmental records and correspondence, including interoffice mail, scanning, filing, forms, reports, telephone and email requests, and Environmental Services support tickets.
  • Schedule department meetings, record and maintain meeting minutes, and assist with committee meetings, disaster drills, and emergency situations as needed.
  • Compile and maintain departmental statistical records and prepare periodic reports as directed by the Environmental Services Superintendent or Supervisors.
  • Coordinate supply ordering, monitor general office needs, and obtain, compare, and present price quotations for tools, equipment, and supplies.
  • Provide general administrative support while maintaining confidentiality, following safety and infection control procedures, and working cooperatively with hospital staff, departments, and outside services.
Required Qualifications

To qualify, you must meet all of the following requirements. Please note that unless specifically indicated, the required education and experience may not be gained concurrently. In addition, qualifying work experience is credited based on a 40-hour workweek.

Experience
  • Six (6) months of general clerical experience demonstrating basic knowledge of grammar, spelling, and arithmetic
  • One (1) year of progressively responsible specialized clerical or secretarial experience, including tasks such as scheduling, file management, correspondence, and office coordination
Substitution of Education for Experience
  • Graduation from high school with courses in basic English and arithmetic may be substituted for the six (6) months of General Clerical Experience.
  • Successful completion of a substantially full-time equivalent clerical, stenographic or secretarial curriculum leading to a degree or diploma at an accredited community college, business or technical school which included courses in business English, arithmetic, office clerical procedures, and office machines will be deemed equivalent to one (1) year of Specialized Clerical Experience.
  • Partial completion of a substantially full-time equivalent clerical, stenographic or secretarial curriculum at an accredited community college, business or technical school which included courses in business English, arithmetic, office clerical procedures, and office machines will be substituted for the Specialized Clerical Experience on a month-for-month basis.
