Hilo Benioff Medical Center is seeking an organized and detail-oriented Administrative Assistant to work as a program coordinator for the Accreditation Council for Graduate Medical Education (ACGME) programming within the Hawaii Island Family Medicine Residency Program (HIFMR). The position works closely with the Program Director, faculty, residents, and Graduate Medical Education (GME) leadership to coordinate schedules, maintain program records, support resident needs, and ensure compliance with ACGME accreditation requirements.
This role is based in Hilo, Hawaii, and requires a high level of confidentiality, professionalism, and sound judgment.
- Coordinate the day-to-day administrative operations of the residency program, including resident schedules, rotations, conferences, assignments, on-call schedules, meetings, orientation, and program events.
- Maintain accurate and confidential resident records, including training documentation, evaluations, leave requests, program requirements, and other accreditation-related records.
- Support ACGME compliance and accreditation activities, including preparing documentation for site visits, self-study reports, annual updates, clinical and educational work-hour requirements, and required evaluations.
- Serve as a primary administrative liaison among residents, faculty, the Program Director, GME office, ACGME, and other stakeholders, providing guidance and support on program requirements and concerns.
- Collect, organize, and report resident and program data to support accreditation, program evaluation, performance monitoring, and continuous improvement.
- Assist the Program Director with program improvement initiatives, budget administration, resident onboarding and orientation, and implementation of changes based on resident feedback, program reviews, and ACGME requirements.
- High school diploma required; college degree preferred.
- Three (3) years of progressively responsible typing, stenographic, and/or substantive clerical experience demonstrating the ability to perform complex administrative and secretarial duties, at least two (2) years of which includes specialized experience providing administrative support to an administrator, executive, or program leadership, including managing administrative details, understanding organizational activities, and exercising sound judgment.
- Experience providing complex clerical or administrative support for a residency program or healthcare administrator a plus.
- Experience working in a healthcare, academic, residency, or Graduate Medical Education environment is preferred.
- Strong organizational skills and the ability to manage multiple priorities, deadlines, and frequent interruptions.
- Excellent written and verbal communication skills, including the ability to prepare correspondence, reports, summaries, and other business documents.
- Ability to maintain strict confidentiality when handling employee, resident, and other sensitive information.
- Ability to work effectively and professionally with physicians, residents, faculty, staff, outside agencies, and individuals from diverse backgrounds.
- Strong judgment, attention to detail, and ability to independently organize and prioritize work.
- Ability to adapt to changing requirements and respond effectively to urgent program needs.
