The University of Hawai‘i at Hilo (UH Hilo) is a public liberal arts and sciences university on the Island of Hawai‘i. The School of Nursing (SON) offers the Bachelor of Science in Nursing, RN to BSN, and Doctor of Nursing Practice programs, and is accredited by CCNE. The Academic Support Specialist supports these programs by advising students, managing admissions and course scheduling, maintaining accreditation databases, coordinating faculty and student events, and ensuring compliance with institutional and professional standards.

Duties

and Responsibilities
  • Serve as academic support officer for SON, providing academic advising for Nursing and Exploratory Health Sciences students.
  • Collaborate with Graduate Program, Admissions, and Registrar offices on SON admission, retention, and curriculum issues.
  • Advise students on admissions and course selections, and resolve registration or technology issues.
  • Process course modifications and manage changes on STAR and Banner.
  • Serve as primary contact for students during summer.
  • Plan informational and recruitment sessions for prospective BSN and DNP students.
  • Coordinate BSN and DNP welcome banquets, orientations, and activities during Fall/Spring institutes.
  • Manage SON undergraduate and graduate program admissions and participate in SON Program Coordinator and faculty meetings.
  • Use Kuali Build to manage student academic support, course scheduling, and curriculum.
  • Participate in curriculum review and updates to the UH Hilo course catalog.
  • Maintain undergraduate and graduate student correspondence and program records for accreditation.
  • Create and maintain surveys for alumni, employment, DNP graduation, faculty, and student data.
  • Monitor SON program information for consistency and accuracy per UH Hilo and professional policies.
  • Attend assigned SON committee meetings, take minutes, and complete data collection duties.
  • Submit hours for preceptors to Hawaii Preceptor Tax Credit.
  • Interface with proprietary contracts on the SON secure platform for student records, background checks, compliance tracking, and assist lab coordinators.
  • Assist with managing SON MOAs/MOUs with agencies and preceptors.
  • Develop, maintain, and retrieve course and program evaluations for accreditation data collection and analysis.
  • Assist faculty with course preparations (e.g., large-volume photocopying).
  • Assist with benchmarking data for accreditation and program reviews with SON Director, Program Coordinators, and staff.
  • Assist SON Director, Program Coordinators, and staff with special projects and program reports.
  • Perform other duties as assigned.
  • Minimum Qualifications
  • Bachelor's degree in any field and 3 years of progressively responsible professional experience with program support responsibilities, or equivalent education and experience.
  • Extensive knowledge of program support principles, practices, and methodologies.
  • Knowledge of applicable federal and state laws, rules, regulations, and systems related to program support.
  • Ability to resolve complex problems creatively, logically, and effectively.
  • Strong written and verbal communication skills and the ability to prepare clear reports and other materials.
  • Ability to establish and maintain effective working relationships with internal and external organizations.
  • Proficiency in personal computer operation and word processing software.
  • For supervisory positions, demonstrated ability to lead subordinates, manage priorities and projects, and handle employee relations.
  • Desirable Qualifications
  • Experience in higher education or nursing education settings.
  • Experience in direct student support in higher education, including academic advising.
  • Experience with Banner, STAR, and/or Kuali platforms.
  • Experience with Excel or Google Sheets for data analysis.
  • Experience with Google platform software.
  • Experience with Zoom video conferencing software.
