As a Clinic Receptionist III, you will play a vital role in creating a positive patient experience by serving as a key point of contact for patients, families, physicians, and clinic staff while helping ensure the efficient operation of multiple outpatient clinics.

This lead-level position offers the opportunity to work independently while supporting the clinic through patient registration, scheduling, medical records management, billing support, staff training, and operational coordination. The Clinic Receptionist III serves as a valuable resource for both patients and team members and helps maintain the high standards of service that define us.

Key Responsibilities
  • Coordinate patient scheduling, registration, appointment reminders, referrals, and transfers while ensuring patient information, insurance coverage, and authorizations are accurate and complete.
  • Serve as the first point of contact for patients and visitors by answering phones, greeting patients, responding to concerns, and providing outstanding customer service.
  • Prepare and maintain patient charts, medical records, billing documentation, referrals, and other clinic records while ensuring compliance with confidentiality requirements.
  • Process payments for outpatient services, issue receipts, enter transactions into the electronic medical record system, and assist patients with financial assistance options when appropriate.
  • Provide lead support by training and orienting staff, communicating procedural and system updates, assisting with emergency situations, and promoting staff development.
  • Support daily clinic operations by maintaining supplies and equipment, compiling reports and statistics, participating in meetings and disaster drills, and ensuring all assigned activities are completed accurately and efficiently.
Required Qualifications

To qualify, you must meet all the following requirements. Please note that unless specifically indicated, the required education and experiences may not be gained concurrently. In addition, qualifying work experience is credited based on a 40-hour workweek.

Qualifications
  • Education: High School Diploma or equivalent preferred.
  • General

    Experience:

    Two (2) years of responsible clerical or administrative experience demonstrating knowledge of office procedures, customer service, and basic computer skills
  • Specialized

    Experience:

    In addition to the General Experience, one (1) year of work experience performing receptionist duties including patient registration, scheduling, data entry and medical records handling in a healthcare or clinic setting
  • Skills: Strong communication and interpersonal skills, attention to detail, ability to multitask, and commitment to excellent customer service
  • Typing: Preferred ability to type at a net speed of 40 words per minute with accuracy
Substitution of Education for General Experience

An Associate’s or Bachelor’s from an accredited college or university may substitute for all the General Experience required.
