THE OPPORTUNITY

The Operations Director / Programs Manager (OD/PM) is a co‑leader of the organization, working in partnership with the Executive Director / Development Manager (ED/DM) and reporting directly to the Board of Directors. You will be the internal backbone of EHCC: the person who keeps the doors open and the engine purring -- finances reconciled, programs coordinated, communications flowing, volunteers engaged, and the building running.

ABOUT EHCC

East Hawaii Cultural Center (EHCC) is downtown Hilo’s anchor for arts, culture, and community. From gallery exhibitions and youth arts to Hawaiian cultural programming and community performances, EHCC has served as a creative gathering place for East Hawaii for decades.

POSITION DETAILS

  • Hours:

    Part‑time, 18 hours/week (structured around gallery open hours)
  • Compensation: $1,900 per month (equivalent to about $24/hour); W‑2 employee

    EHCC Board of Directors

KEY RESPONSIBILITIES

Your work spans five core areas:

Daily Operations & Administration
  • Serve as the primary point of contact for staff, contractors, volunteers, visitors, and vendors
  • Maintain organizational systems: shared calendars, contact databases, digital and physical files, administrative workflows, policies and SOPs, and operational logistics
  • Coordinate facility needs including supplies, maintenance requests, vendor coordination, safety and security, and insurance and legal documentation
Financial Administration
  • Own day‑to‑day financial operations: accounts payable/receivable, expense tracking and coding, donation and sales logging, Pay Pal/Venmo processing, and monthly reconciliation in collaboration with the bookkeeper
  • Monitor budget‑to‑actual performance across program areas and alert the Board to material variances
Human Resources & Grants Support
  • Manage HR documentation for staff and contractors
  • Recruit, schedule, and coordinate volunteers and interns
  • Participate in the Grants Working Group; provide data for grant compliance and reporting
Program Coordination
  • Coordinate logistics, finances, schedules, publicity, and reporting across EHCC programs including Youth Arts, gallery exhibitions, and community events
  • Manage membership rolls, renewal notices, and donor/member acknowledgements
Communications, Marketing & Outreach
  • Produce e‑newsletters, social media posts, website updates, and promotional materials
  • Implement outreach strategies for membership, volunteer, and fundraising campaigns
  • Maintain media, partner, volunteer, member, and community contact lists

REQUIRED QUALIFICATIONS
  • Strong leadership, management, organizational, and communication skills with demonstrated ability to follow‑through on multiple concurrent priorities
  • Two or more years of experience in overseeing operations in a nonprofit, community organization, or small business, or equivalent accounting, administration, or office management experience
  • Demonstrated ability to responsibly manage financial tasks including bookkeeping, reconciliation, and budget tracking (Quickbooks knowledge and experience preferred)
  • Experience producing public‑facing content and managing social media accounts on major platforms, developing campaigns that grow audience engagement
