Position: Accounts Payable Specialist: QuickBooks & Job Costing

We are seeking a detail-oriented and organized Accounts Payable (AP) Bookkeeper to support day-to-day accounting and administrative functions in a fast-paced environment. This role is responsible for processing vendor invoices, maintaining accurate financial records, and supporting the accounting team with general bookkeeping tasks. The ideal candidate is highly accurate, deadline-driven, and comfortable working with multiple priorities. Experience with Quick Books is required.

Key Responsibilities
  • Process and code accounts payable invoices accurately and timely
  • Match invoices to purchase orders, contracts, and receipts as applicable
  • Manage vendor setup, maintain vendor files, and respond to vendor inquiries
  • Prepare and process weekly or bi-weekly check runs and electronic payments
  • Reconcile vendor statements and resolve discrepancies
  • Enter and maintain financial data in Quick Books
  • Assist with job costing, expense tracking documentation
  • Support general bookkeeping, filing, and administrative accounting tasks
  • Assist with month-end close activities and reporting as needed
Qualifications
  • 2+ years of experience in accounts payable or bookkeeping
  • Prior experience in construction, contracting, or job-cost environments preferred
  • Proficiency in Quick Books (required)
  • Strong attention to detail and accuracy
  • Ability to manage multiple tasks in a fast-paced environment
  • Basic understanding of general accounting principles
  • Strong organizational and communication skills
  • Proficiency in Microsoft Excel and other basic office tools
