Opportunity

As SELA continues to grow, we are seeking a detail-oriented and people-centered HR & Payroll Support Specialist to join our administrative team. In this role, you will play a key part in supporting a team of approximately 100 staff members — including international educators on work visas — ensuring accurate payroll processing, compliant HR practices, and a seamless employee experience from first day to last.

Key Responsibilities Payroll
  • Process bi-weekly and monthly payroll accurately and on time using Paylocity.
  • Manage and maintain up-to-date employee schedules in Paylocity; ensure all schedule changes are entered promptly.
  • Track employee absences, time-off requests, and attendance documentation in compliance with SELA policy.
  • Maintain complete and accurate payroll records, including PTO balances and leave tracking.
  • Support year-end payroll processes including W-2 preparation and tax filings.
  • Assist with payroll audits, reconciliations, and reporting on discrepancies.
  • Pull and save weekly payroll and 401(k) reports to the designated shared drive.
  • Assist with bi-weekly 401(k) payroll submissions through the plan provider portal.
  • Support wage tallying, overtime tracking, and labor cost reporting as requested.
HR Administration
  • Manage full-cycle employee onboarding and offboarding processes, including documentation, systems setup, and file creation.
  • Maintain accurate, organized, and confidential employee records in both electronic and physical formats.
  • File and organize all HR documents — including contracts, evaluations, and compliance records — in both hard copy folders and digital systems.
  • Support benefits administration and coordination of annual open enrollment.
  • Regularly audit health insurance enrollments, including additions, terminations, and coverage changes; ensure accuracy with the provider.
  • Assist with leave management — including processing PFML requests, tracking leave start and end dates, and updating records in both the PFML portal and Paylocity.
  • Assist with work authorization and visa compliance documentation, including H-1B1 requirements for international educators.
  • Ensure all H-1B1 employee documentation is current, complete, and within compliance deadlines.
  • Maintain a compliance calendar for all H-1B1 employees — tracking appointment dates, document expirations, and renewal deadlines; coordinate with legal counsel or immigration contacts as needed.
  • Support performance management processes, including tracking evaluation cycles and maintaining documentation.
  • Ensure ongoing compliance with Massachusetts labor law, wage and hour regulations, and employment standards.
  • Assist with HR policy updates and employee handbook maintenance.
  • Serve as a knowledgeable and approachable resource for staff questions regarding payroll, benefits, and HR policies.
  • Maintain strict confidentiality and handle all sensitive employee information with the highest level of discretion.
  • Requires a high level of organization, discretion, and the ability to manage confidential information.
