Summary

This position is responsible for performing daily administrative and clinical duties to facilitate efficient operations in an outpatient clinic setting. The role provides support in delivering safe, quality care and customer service to patients, physicians/providers, and other members of the clinical care team.

Responsibilities Patient Examination/Treatment
  • Escorts patients to exam rooms on a timely basis and keeps team members informed of any delays.
  • Prepares patients for appropriate examination, triaging as necessary for radiologic studies, cast removal, etc.
  • Assists physicians, as needed, in the patient examination process.
  • Evaluates need for wound care and ensures adequate provision of care and patient education.
  • Provides for splint/cast applications and removals when applicable.
  • Processes prescriptions according to physician orders and instructs/educates patients regarding medication side effects.
  • Prepares injectable medications and the necessary equipment.
  • Coordinates referrals for ongoing services/needs (e.g., therapy services, home health, surgical procedures, DME, etc.).
  • Acts as a patient intermediary/liaison for resolution of patient problems.
  • Executes environmental responsibilities such as setting up instruments and equipment, cleaning exam/procedure rooms, and maintaining infection control protocols per OSHA.
  • Assists with scheduling, patient flow coordination, patient transport, specimen collection, charting, relaying instructions, and answering calls.
Physician Liaison Activities
  • Responds to incoming phone calls and determines the best method for resolution by routing to the appropriate respondent.
  • Channels requests appropriately to ensure resolution.
  • Secures charts related to diagnostic tests, therapy reports, etc., and discusses issues with physicians, relaying information back to patient/requestor.
  • Completes chart notes and assists in securing missing diagnostic codes/information on charge tickets.
Appointment Scheduling
  • Assists in scheduling appointments for new and established patients.
  • Discusses special needs patient appointments with physicians, supplies medical charts, and secures approvals for visits outside routine scheduling templates.
Correspondence (Written/Faxed/Verbal)
  • Sends prescriptions for therapy, orthotics, return‑to‑work notes, gym notes, etc.
  • Provides workers’ compensation carriers with updated patient status.
  • Completes “Attending physician” statements, narrative summaries for attorneys, handicap parking permits, jury duty requests, disability forms, PE excuse notes, etc.
  • Manages clerical responsibilities including sending/receiving patient medical records, obtaining lab/x‑ray reports, hospital notes, referral information, completing forms, scheduling appointments, verifying insurance coverage, and ensuring proper filing.
Support Activities
  • Prepares clinical charts prior to patient appointments, ensuring necessary imaging and reports are secured.
  • Notifies management when clinic supplies are low.
  • Ensures exam rooms, cast rooms, etc., are clean, orderly, and fully stocked at the end of clinics.
Operational
  • Participates in learning new systems for the service area.
  • Provides information to patients and families regarding delays and operational questions.
  • Maintains professional image through proper dress and presentation.
  • Attends mandatory in‑service programs to stay current on insurance and registration issues.
  • Responds to emergency codes and shares issues with supervisors promptly.
Requirements
  • Successful completion of an accredited Medical Assistant Program is a plus.
  • Maintains CPR certification.
  • Experience in an orthopedic healthcare setting is preferred.
  • Capable of multi‑tasking and working in a fast‑paced environment.
