Work Environment:
This position works on-site. Remote work is not available at this time.
The Executive Administrative Assistant provides high-level, confidential administrative support to the Executive Administration & Events Manager and other executive staff. This position is often privy to confidential information and requires diplomacy, discretion, and accuracy while maintaining complete confidentiality throughout all processes assigned and handled.
Duties/Responsibilities- Provide high-level administrative support and assistance to the Executive Leadership Team.
- Assist in the scheduling and management of assigned calendars.
- Handle confidential and sensitive material with strong attention to detail.
- Develop reporting procedures and methods to establish timelines and tracking mechanisms to ensure deadlines are met.
- Ensure the timely and accurate completion of various management reports.
- Prepare agendas and schedules for meetings (as assigned) and assist in the organization of the Annual Meeting, Holiday Parties, and other employee events.
- Assist in the organization and preparation for various staff and management meetings as directed by the Executive Administration & Events Manager.
- Arrange travel and logistics, such as booking flights, car rentals, hotel accommodations, and conference registrations; complete all expense reports and reimbursements upon return.
- Prepare monthly expense reports for approval as needed.
- Retrieve information from records, email, meeting minutes, and other documents; prepare written summaries of data when needed.
- Greet members as needed and direct their needs to the correct department or employee.
- Support the Executive Administration & Events Manager with additional duties that arise.
- Perform other duties as assigned.
- Education or experience equivalent to an associate’s degree, plus 4 years of experience in office management and/or administration.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time‑management skills with a proven ability to meet deadlines.
- Ability to function well in a high‑paced and sometimes stressful environment.
- Extensive knowledge of office administration, clerical procedures, and record‑keeping systems.
- Extremely proficient with Microsoft Office Suite.
- Patience, tact, enthusiasm toward members, colleagues, and the general public.
- Requires prolonged sitting, with some standing, walking, kneeling, stooping, bending, lifting, and fine‑hand coordination.
- Must be able to lift up to 20 pounds, with occasional lifting of objects up to 10 pounds.
- Requires visual, aural acuity, and hand dexterity; must read and write English and interpret information to make independent decisions.
- Must remain calm under stress.
- Works in a safety‑conscious manner that ensures safe work practices are used and do not pose a risk to self or others.
- Adheres to the policy on a Drug‑Free Workplace.
- Complies with company policies, procedures, and local, state, and federal regulations.

- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Must be able to access and navigate each department at the organization’s facilities.
