Position SummaryThe Scheduler is responsible for creating and maintaining caregiver schedules, ensuring client visits are covered, and serving as a primary communication link between clients, caregivers, and office staff. This role requires strong organizational skills, attention to detail, and the ability to respond quickly to scheduling changes while maintaining excellent customer service.
Key Responsibilities- Create and maintain caregiver schedules to ensure all client visits are covered.
- Monitor daily schedules and make real-time adjustments for call-offs, emergencies, and schedule changes.
- Communicate schedule updates promptly to caregivers and clients.
- Match caregivers with clients based on availability, skills, location, and client preferences.
- Verify caregiver availability and manage time‑off requests.
- Maintain accurate client and caregiver schedules in scheduling software.
- Assist with scheduling new client starts and caregiver orientations.
- Maintain accurate documentation and ensure compliance with company policies.
- Work collaboratively with office staff to provide exceptional customer service.
- Participate in an on-call rotation, if applicable.
- High school diploma or equivalent required.
- Minimum of one year of scheduling, customer service, administrative, or office experience preferred.
- Experience in home care, home health, or service scheduling is a plus.
- Strong computer skills, including Microsoft Office and scheduling software.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Ability to remain calm and professional in a fast-paced environment.
- Reliable transportation and a valid driver's license preferred.
- Excellent problem‑solving and decision‑making abilities.
- Strong attention to detail.
- Ability to prioritize multiple tasks simultaneously.
- Professional phone etiquette.
- Team-oriented with a positive attitude.
- Bilingual (English/Spanish) is a plus.
