Administrative Assistant Associate

Position Type:
Full‑time, Non-Exempt (FLSA)

Location:

NMSU satellite location, New Mexico, United States
Office

Hours:

Monday–Friday, 8:00 a.m. – 5:00 p.m.

Salary: $16.83 per hour

Key Responsibilities
  • Answer phones, emails, and in‑person inquiries from office visitors.
  • Direct customers to appropriate agents and provide information on programs and upcoming events.
  • Communicate policies and procedures to agents and staff.
  • Assist 4‑H participants, volunteers, and parents with registration, project materials, and policy compliance.
  • Track and manage 4‑H enrollments.
  • Sort, screen, and distribute incoming mail.
  • Maintain the county website and social media platforms.
  • Resolve routine administrative problems and respond to inquiries about departmental activities.
  • Prepare finance documentation for utilities, agent travel, program activities, and office equipment; track monthly finances and reconcile the procurement card.
  • Perform clerical duties such as filing, typing, copying, binding, scanning, and other office tasks.
  • Order, stock, and distribute office supplies.
  • Maintain and update files, records, and office documents.
  • Operate a personal computer for data entry, drafting, editing, and printing communications.
  • Prepare reports, flyers, and other materials.
  • Operate office equipment (copier, fax, etc.).
  • Arrange meetings, conferences, interviews, and appointments; maintain individual schedules.
  • Make travel and lodging arrangements as needed.
  • Assist staff in program preparation.
  • Maintain filing systems, civil‑rights files, and contact reporting.
  • Support office hours while agents are in the field.
Qualifications
  • High school diploma or equivalent plus one year of relevant experience, or a higher degree.
  • Knowledge of Extension office finances, agent programs, and 4‑H policies and procedures is preferred.
