Position: COMMUNICATIONS ADMINISTRATIVE ASSISTANT

ESSENTIAL DUTIES

  • Performs duties related to acquiring quotes, accounts payable, accounts receivable, and other financial management tasks of the department
  • Writes memos and other forms of communication on behalf of the Communications Department
  • Conducts subject research for a wide array of subjects related to the City of Hobbs and its areas of interest
  • Presents information and data in an attractive, easy-to-understand format
  • Books and schedules annual headshots and department group photos
  • Schedules vendor services for events and programming
  • Contributes to copywriting as needed
  • Compiles press/media contact lists
  • Assists with updates and maintenance of City of Hobbs websites
  • Assists with the administration of City of Hobbs social media accounts
  • Performs duties related to community engagement
  • Handles equipment procurement for marketing specialists
  • Leads youth outreach in Hobbs and surrounding communities with the intent of job shadowing, interning, and potential recruitment
  • Coordinates radio announcement recordings; places announcements/commercials, and assists with scriptwriting as needed
  • Assists other staff with community outreach, press/media coverage, promotions, event organizing and hosting, advertising, marketing, hospitality, public relations, and other similar fields

This position is subject to the City of Hobbs’ Drug and Alcohol Testing Policy which includes one or more of the following: pre-employment testing, post-accident testing, random testing, reasonable suspicion testing, return to duty testing and follow-up testing.

MINIMUM QUALIFICATIONS

Education and Experience

Graduation from high school or GED equivalent required.

Two (2) years’ experience in office management, administrative duties, marketing, community engagement/outreach, public relations, communications, business, journalism and/or another related field required.

Skills, Knowledge and Abilities
  • This position will require a high level of organization and time management.
  • Ability to provide a high level of customer service.
  • This individual is expected to display excellent skills regarding grammar and writing.
  • Must be able to communicate in a clear and precise manner as well as understand messages sent by other individuals via different methods of communication.
  • Must have a desire to gain knowledge of public affairs and communications as well as government activities, principles, practices, and methods.
  • The individual in this position will often handle confidential and/or time-sensitive information and be expected to maintain the nature of this information.
  • Knowledge of the basic principles and practices of the Marketing field and office work, including basic writing and community involvement.
  • Knowledge and experience with financial software such as those distributed by Tyler Technologies, Oracle, and similar software utilized by municipalities.
  • Knowledge and experience with standard Microsoft software including Word, Publisher, and Excel.
  • Comprehensive knowledge of different social media networks, such as Twitter, Facebook, Tik Tok, Instagram, You Tube, and the ability to learn any others that may be deemed suitable for the City of Hobbs.
Licensing and Certifications

Valid state issued driver’s license.

SUPERVISION RECEIVED

Works under the guidance and direction of the Coordinators in the Communications Division.
