About the RoleThe Accounting Assistant will work closely with the Accounting & Operations Manager, providing direct support in day‑to‑day financial and administrative activities. This role is ideal for a motivated early‑career accounting professional looking to grow in a fast‑paced international business environment while gaining exposure to U.S. accounting practices, sales tax processes, and multi‑entity operations.
ResponsibilitiesAccounting Support:
- Assist with daily transaction entry in Quick Books, including invoices, bills, payments, and expense reports.
- Support accounts payable and receivable processes, including invoice preparation, payment tracking, and collections follow‑ups.
- Help perform bank and credit card reconciliations and identify discrepancies.
- Organize financial documentation and maintain accurate, audit‑ready digital records.
- Assist with sales tax data preparation and provide administrative support for state filings.
- Prepare reports and supporting schedules for the Accounting & Operations Manager and external CPAs.
- Help ensure accounting records are accurate and properly maintained.
- Provide general administrative support to the accounting function as needed.
Operational & Administrative Support:
- Provide direct support to the Accounting & Operations Manager in managing daily priorities, deadlines, and workflows.
- Assist with client onboarding documentation and internal record‑keeping.
- Support banking activities, payment setups, and financial institution communications.
- Help maintain corporate compliance files such as business licenses, annual reports, and registered agent records.
- Assist with the registration and qualification of U.S. entities for international clients (including foreign companies), coordinating documentation and supporting state filings.
- Contribute to improving internal processes and organization.
Customer & Client Support:
- Communicate professionally with clients via phone and email in both Italian and English.
- Assist with administrative and financial inquiries, escalating matters when appropriate.
- Coordinate internally to ensure client requests are handled efficiently and accurately.
- 1–3 years of accounting, bookkeeping, or administrative experience preferred.
- Basic knowledge of accounting principles.
- Familiarity with Quick Books Online is strongly preferred.
- Exposure to sales tax or multi‑state environments is a plus.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Excel.
- Professional fluency in both Italian and English is required, as this role involves direct communication with Italian‑speaking clients.
- Highly reliable, proactive, and eager to learn.
- Comfortable working in a structured but fast‑growing environment.
- Must be legally authorized to work in the U.S. without sponsorship.
