Job SummaryThe Scheduling Coordinator oversees the coordination of nurse and CNA staffing schedules, collaborates with clinical leadership to ensure staffing needs are met, monitors staffing effectiveness, and assists with communication of nursing operational tasks to the DON.
Responsibilities- Completes all staffing schedules monthly, weekly, and daily.
- Meets with the DON/ADON to review staffing goals and needs, and reviews the monthly schedule and weekly openings.
- Communicates with facility nurses and CNAs to secure scheduling commitments, handles calls regarding schedule changes (tardiness, call‑offs, etc.) and adjusts to ensure coverage.
- Updates the facility DON/ADON as shifts are filled.
- Ensures that staffing schedules and vacancies are posted, and checks posted vacancies daily to identify any vacant shifts that have been requested.
- Guarantees at least one RN provides coverage daily and ensures the Daily Staffing Posting is present in the lobby daily.
- Works with the Facility Administration as needed to review other staffing options (e.g., activity aides who are CNAs).
- Collaborates with Facility Administration and the DON/ADON daily regarding oversight of RA duties.
- Collaborates with the Business Office Manager regarding recruitment opportunities.
- Attends nursing‑related job fairs for the purpose of recruitment and hiring.
- Conducts preliminary interviews with applicants for CNA, wound‑care tech, resident safety tech, RAs, and restorative aide positions when necessary.
- Monitors POC compliance and communicates individual concerns to the DON/ADON.
- Maintains a weekly record of shifts that have been filled.
- Participates in staffing meetings to communicate needs and plans.
- Files and stores staffing assignment sheets daily with real‑time adjustments entered.
- Works closely with union representatives when applicable to eliminate conflicts and/or grievances against the facility.
- Provides education, training, and completes competencies for CNAs and RAs.
- Collaborates with the DON/ADON, Administrator, and Business Office Manager on staff retention and employee engagement initiatives.
- Serves as Manager on Duty on weekends, evenings, and/or holidays as scheduled.
- Works closely with restorative and wound departments to ensure staff compliance according to the needs of the residents and all assigned programs are carried out, including adequate documentation.
- Must have been a Certified Nursing Assistant with at least one year of current experience working in long‑term care, unless already serving in the role. All hires after 1/2022 must be CNAs.
- Demonstrates full competency in all areas of the CNA work responsibilities (if a CNA).
- Demonstrated success in collaborating and communicating with peers.
- Demonstrates the ability to teach and competency in all CNA skills (if a CNA).
- Demonstrates leadership and supervisory ability and willingness to work harmoniously with employees.
- Must have the ability to multitask (managing day‑to‑day functions as well as collaborating on scheduling).
- Demonstrates interest in the importance of care for the residents.
- Demonstrates interest in the importance of staff retention.
- Must possess the ability to make independent decisions when circumstances warrant such action.
- Must possess the ability to deal tactfully with employees at all levels.
- Accepts and supports the DON/ADON and Administrator philosophy in the provision of care.
- Assesses, plans, develops, organizes, implements, and evaluates the facility staffing needs.
- Assures that all procedures are followed in accordance with established staffing processes and policies.
- Directly collaborates with clinical leadership and assists with providing staff education, training, and competencies.
- Identifies problems, develops, and implements solutions with the assistance of the DON/ADON and Administrator.
- Assists with other non‑clinical duties/tasks as assigned for the overall operations of the facility.
- Must be able to move intermittently throughout the workday.
- Must be able to cope with the mental and emotional stress of the position.
- Must possess sight/hearing senses or use prosthetics that enable these senses to function adequately so that the requirements of this position can be fully met.
- Must be in good general health and demonstrate emotional stability.
- Must be able to relate well and work with the ill, disabled, elderly, emotionally upset, and at times hostile people within the facility.
- Must be able to stand and ambulate for long periods of time.
- Must be able to push, pull and lift 25 pounds for 25 feet.
