We are currently seeking an accomplished Project Billing Specialist to join our Contract Billing Team! Our Project Billing Specialist will be responsible for the timely and accurate billing for a portfolio of Woodmeister projects. This position manages the computer entry of billing, change requests and budget entry.
Other Responsibilities Include- Focus on timeliness and accuracy of all billing, making sure all contracts are billed monthly and costs are posted to the appropriate codes for contracts.
- Review assigned contracts, understand contract items, identify billing opportunities through job cost evaluation conducted with Project Managers monthly.
- Review project activity with Project Managers to understand progress, status of work performed, expected completion dates, change request opportunities, mis-posted costs. etc.
- Thoroughly review project activity with PMs to decipher any changes to original specifications, make sure all work performed is documented and appropriately billed.
- Create project billing in the company software system, to capture all subsequent project activity and bill initial deposit according to contract terms specified.
- Compare budgets provided to the terms of the contracts to ensure accuracy. Address any discrepancies with Project Manager.
- Monitor receivables and notify project team of any short payments and/or past due invoices.
- Preparation of change requests, submit to client once approved by Project Manager.
- Education and experience equivalent to associate’s degree in business or accounting.
- At least 2 years of experience working in a financial/billing environment desired.
- Understanding of basic accounting principles.
- Experience in billing for the Construction Industry preferred
- Understanding of AIA billing preferred
- Excellent analytical skills with a high degree of attention to detail.
- Excellent organizational skills, able to maintain multiple priorities and follow through.
- Ability to work independently, in some cases working remotely, and with teams.
- Ability to focus and perform in a high activity environment.
- Intermediate to expert computer skills (Microsoft Office) and ability to learn new, complex software systems.
- Effective communicator, able to influence others through good written/verbal communication.
- High-level math skills with excellent analytical and problem solving abilities.
