Profile Lead Document Expeditor

Do you know how to manage vendor documentation workflows across multiple stakeholders and tight deadlines? Can you keep complex EPC projects on track by ensuring critical documentation is delivered on time?

We are looking for a Lead Document Expeditor to coordinate and expedite vendor and project documentation, ensuring timely reviews, accurate document workflows, and compliance across complex EPC projects.

Tasks & responsibilities:
  • Coordinate and oversee vendor documentation expediting activities across multiple projects.
  • Monitor and expedite the submission, review, and approval of project and vendor documentation in line with document schedules.
  • Act as the main escalation point for documentation-related queries and delays.
  • Interface with vendors, project teams, procurement, and document control teams to ensure accurate and timely document flow.
  • Review and manage document schedules, workflows, and reporting.
  • Support package gate meetings and ensure documentation milestones are achieved.
  • Expedite internal review cycles and coordinate resolution of commented documents.
  • Manage and support document expeditors assigned to projects.
  • Track documentation progress and provide reporting and analytics to project stakeholders.
  • Support project close-out activities to ensure complete and compliant documentation handover.
Lead Document Expeditor
  • At least 5+ years of experience in document control, document expediting, or vendor documentation coordination within EPC or oil & gas projects.
  • HBO education or equivalent.
  • Strong understanding of document schedules, workflows, and review processes.
  • Experience with document control systems and project documentation management tools.
  • Experience coordinating with vendors, procurement teams, and project stakeholders.
  • Experience leading or coordinating small teams is preferred.
  • Strong organisational and communication skills.
  • Ability to work in a fast-paced, multicultural project environment.
  • Experience in project material expediting is a plus!
  • Fluent in English, both verbally and in writing.
