Are you an organized, detail-oriented professional who thrives in a fast-paced clinical environment? Join Samaritas as an Administrative Coordinator and help drive the daily operations of our Behavioral Health and Substance Use Disorder (SUD) offices in Holland.
In this key role, you’ll be the operational backbone of the clinic—coordinating schedules, supporting staff, managing administrative workflows, and building relationships with community partners. Your work ensures that both clients and clinicians have the support they need to succeed.
What You’ll DoOffice Coordination & Operations
- Manage daily administrative operations to ensure smooth clinic function
- Coordinate staff schedules and ensure appropriate coverage
- Maintain organized systems for files, records, and office workflows
Team Support & Communication
- Serve as an administrative liaison between leadership and clinical staff
- Support onboarding and orientation of new team members
- Participate in team meetings and provide insight on operational needs
Client & Office Administration
- Answer and route incoming calls, manage messages, and handle incoming mail
- Set up, maintain, and organize client files and documentation
- Track key client data, including intakes, transfers, and discharges
Quality Assurance & Compliance
- Support quality assurance processes and reporting requirements
- Track deadlines and notify staff of documentation or reporting needs
Marketing & Community Engagement
- Assist with outreach, marketing efforts, and scheduling networking meetings
- Build and maintain relationships with referral partners (courts, providers, funders, etc.)
Process Improvement
- Identify opportunities to improve office efficiency and workflows
- Support leadership in implementing operational changes and best practices
- High school diploma preferred
- 1+ year of administrative coordination experience preferred
- 2+ years of clerical or administrative support experience preferred
- Experience in a medical office, behavioral health, or clinical setting highly valued
- Knowledge of insurance billing or healthcare administration a plus
- Strong organizational and multitasking skills in a fast-paced environment
- Proficiency in Microsoft Office and general computer systems
- Ability to type approximately 50 WPM
- Strong communication skills, both written and verbal
- High level of professionalism and confidentiality
- Ability to collaborate effectively with multidisciplinary teams
- Detail-oriented with strong problem-solving abilities
