Office Operations Director – Volunteer Position

Reports to:

Vice Chair

Works closely with:
Volunteer Coordinator, Candidate Support and Recruitment, Political Organizing

Time commitment: average of 10-15 hours per month (this is approximate! Politics works 24/7!)

The Office Operations Director is responsible for ensuring that the OCDP office functions as an effective, welcoming, and well-organized hub for party activities, volunteers, and campaigns. This role oversees day-to-day office operations, volunteer coordination, facility management, and shared space scheduling, creating the infrastructure that allows candidates, campaigns, and party leaders to focus on winning elections and building long-term community power.

Responsibilities

Facility Operations

The Office Operations Director establishes and maintains systems that keep the OCDP office functional, accessible, and ready for use. This includes overseeing office hours and staffing schedules, ensuring the physical space is safe and well-maintained, coordinating repairs or supply needs, and developing processes for routine upkeep. They are responsible for documenting procedures related to office use and facilities management so that operations remain consistent and sustainable over time.

They are also the point of contact between any satellite offices opened for campaign season.

This role leads volunteer recruitment efforts for office support roles, primarily front desk coverage, but may also include event support, data entry, and facility maintenance as appropriate. The Office Operations Director is responsible for onboarding and training these volunteers, setting clear expectations, and creating schedules that ensure reliable coverage during office hours and events. They work closely with volunteers to foster a welcoming, inclusive environment that reflects OCDP’s values of belonging, accessibility, and respect.

Shared Space Scheduling and Management

The Office Operations Director maintains the official schedule for office space usage, coordinating requests from OCDP committees, candidates, and campaign teams. This includes managing calendars for meetings, phone banks, trainings, and events, and ensuring that shared space is allocated fairly and transparently. They act as a neutral coordinator to prevent scheduling conflicts and ensure that all users understand and follow established office use guidelines.

Stakeholder Coordination

The Office Operations Director regularly interfaces with campaign staffers and volunteers on every level of race, local through federal. They, or trained volunteers, provide orientation to office resources, clarify policies for shared space and materials, and serve as a point of contact for operational questions. This role helps ensure that campaigns using the OCDP office understand expectations around space usage, supplies, and volunteer coordination.

This also means enforcing expectations, up to denying use to any campaigns or committees who abuse OCDP office use policies.

Resource and Inventory Management

This position is responsible for maintaining an accurate accounting of resources stored in the office, including furniture, equipment, signage, literature, merchandise, and campaign materials. The Office Operations Director establishes systems for tracking inventory, documenting check-outs or shared use, and identifying needs for replenishment or reorganization. Clear recordkeeping ensures transparency and accountability for shared party assets.

Collaboration and Reporting

The Office Operations Director works within the Committee Director Expectations as a member of OCDP leadership to align office operations with organizational goals. They provide regular updates on volunteer capacity, office usage, and operational needs, and collaborate on planning for major events, election cycles, and campaign surges.

Time Commitment and Structure

This role requires consistent availability to manage schedules, respond to office needs, and support volunteers and campaigns, with increased demands during peak election periods. The role can be hybrid, but requires weekly on-site time to be effective.
