Dean of Social Sciences - Administrative Assistant
The Administrative Assistant to the Dean (AAD) of the Social Sciences Division (SSD) manages the daily operations of the Dean’s office and partners with the Dean, departmental chairs, program directors, and office managers to facilitate the execution of the responsibilities of the dean and the dean’s office within the division and the College. The AAD also supports outward‑facing initiatives, including philanthropy, engagement, public relations, marketing, admissions, special events, and various other activities;
represents the SSD at college‑wide leadership functions, forums, and workshops; and maintains confidentiality and professional discernment.
- Manage and strategically prioritize the Dean’s calendar using Google Calendar, coordinating twice‑month meetings with chairs and program directors, as well as regular 1:1 meetings and tenure/promotion review meetings.
- Oversee the Dean’s operating budget, discretionary funds, start‑up funds, adjunct faculty requests, payment requests, expenses via , and annual review processes.
- Coordinate application, selection, and follow‑up for internal awards and stipends, honors convocation awards and certificates, social science awards selection processes, and divisional nominations for boards and committees.
- Manage office and space allocations, moves, and assignments for incoming faculty; oversee office supplies and facility needs (paper, cartridges, coffee, shred service, etc.) and maintain maintenance requests for SSD buildings.
- Send congratulations and sympathy cards to divisional faculty members and coordinate ordering and distribution of divisional gifts.
- Maintain and update department faculty lists, faculty workload spreadsheets, and records of student and faculty awards and research collaborations; manage the division website and hallway directories; coordinate SSD social media.
- Lead planning and stakeholder engagement through twice‑month meetings with office managers, campus‑wide events, lectures, visiting scholars, and clean‑up/recycling events, drafting correspondence and briefings, and managing confidential personnel matters.
- Participate actively in meetings with assistants and staff supporting the provost, associate provost, and other division deans; quickly learn new software systems; and assist with unique situations presented to the dean’s office.
- Bachelor’s degree or minimum five years of administrative staff experience, preferably in higher education or a complex institutional setting.
- Excellent organizational skills with attention to detail.
- Excellent written and oral communication skills.
- Mastery of Microsoft Office or Google Suite; social media experience and ability to learn additional systems as needed.
- Demonstrated ability to draft executive communications, briefing documents, and presentations.
- Demonstrated discretion in handling sensitive or confidential matters at the leadership level.
- Proven ability to manage complex, multi‑stakeholder projects with minimal supervision and strong independent judgment.
This position requires frequent sitting or standing, use of office machinery such as computers, printers, and copy machines; occasional movement of items over 10 pounds; and frequent travel between different offices or buildings.
