PayrollSpecialist
Summary
The Payroll Specialist is responsible for the accurate and timely processing of payroll and related activities, including wage calculations, deductions, benefits coordination, compliance with wage and hour regulations, and payroll reporting.
Essential Duties and Responsibilities- Prepares and processes standard weekly payroll (hourly and salary), as well as quarterly bonus payrolls, discretionary bonus payrolls, and other special payments as necessary.
- Maintains accurate employee and payroll records within the HCM system and personnel files, including compensation, benefits, tax data, direct deposit, attendance, and employment status changes.
- Manages child support orders, garnishments, and other legal with holdings.
- Manages repayments of personal purchases and expense reimbursements for employees.
- Balances payroll after it is processed, troubleshoots, and reconciles discrepancies.
- Ensures benefits accounts are properly funded and creates related general ledger entries.
- Responds timely to payroll-related inquiries from employees and/or managers.
- Builds and maintains custom reports within the HCM system.
- Posts labor hours and processes time adjustments in ERP system.
- Supports the financial close of Month End by reconciling payroll accounts.
- Assists with payroll tax filings, audits, and year-end activities (e.g., W-2s).
- Supports the Accounts Payable team with invoice entry and check processing as needed.
- Submits payments to 1099 contractors.
- Acts as the backup for daily banking activities.
- Ensures compliance with federal, state, and local payroll tax requirements, wage and hour laws, and company policies.
- Maintains confidentiality and discretion when handling sensitive employee and payroll information.
- Other job duties, as assigned.
- Bachelor’s degree in Accounting or a related field is preferred.
- Minimum of 3+ years of payroll or related experience is required.
Proficiency with HRIS/HCM systems, ERP systems (e.g., Syteline), electronic payroll systems, and Microsoft Office Suite required.
