We are currently looking for a motivated professional to step into a Warranty Administrator role to ensure our high standards of accuracy and efficiency are met every day.

Barber Ford is seeking an experienced Warranty Administrator to join our team in Holland. This is a critical role that acts as the liaison between the service department (advisors/technicians) and the manufacturer regarding claim approvals, denials, and policies. You will be responsible for handling the booking and review of service repair orders after repairs have been completed and for the submission and management of warranty claims between Barber Ford and Ford Manufacturer.

The ideal candidate has a solid foundation in automotive parts and service operations, factory warranty policies, and DMS (Dealer Management System) software. They excel at organizing complex technical documentation, reviewing repair orders for compliance, and maximizing reimbursement accuracy while managing claims.

  • Monday through Friday (Thursday 8AM-8PM)
  • No Saturday and Sundays
Work Requirements
  • Active Driver’s License is a requirement.
  • Ability to commute to Holland, MI.
  • Ability to pass a background check and drug screening.
  • Previous experience in reviewing automotive repair orders for compliance and maximizing reimbursement accuracy while managing claims.
Responsibilities
  • Claim Submission: Prepare, record, and submit warranty claims to manufacturers/distributors in a timely, accurate manner.
  • Documentation Review: Review repair orders to ensure proper labor operation codes, failure codes, and documentation are included.
  • Reconciliation: Reconcile warranty receivables and track the status of claims, including resubmitting rejected claims.
  • Part Tracking: Track warranty parts by tagging and storing them, or arranging for shipment/scrapping according to manufacturer policies.
  • Communication: Act as the liaison between the service department (advisors/technicians) and the manufacturer regarding claim approvals, denials, and policies.
  • Compliance: Maintain in-depth Knowledge of factory recalls, bulletins, and manufacturer warranty policies.
Qualifications
  • Experience: Prior experience in automotive warranty administration or a similar service-related role is often required.
  • Technical

    Skills:

    Proficiency with Dealership Management Systems (DMS) such as CDK, Reynolds & Reynolds, or Dealer track. Tekion experience a plus.
  • Attention to Detail: High organizational skills to manage documentation and strict deadlines.
  • Communication: Strong verbal and written skills to interact with technicians, service managers, and manufacturer reps.
  • Reliability and a strong professional work ethic.
