Job DescriptionThe Holliston Public School District is seeking a highly organized, detail-oriented, and customer‑focused Business Office Coordinator to support the daily financial and operational activities of the Business Office. The successful candidate will coordinate accounts payable functions, purchasing activities, grant support, and related business operations while maintaining the highest level of accuracy, confidentiality, and customer service. The Business Office Coordinator reports directly to the Assistant Superintendent for Finance and Operations.
EssentialResponsibilities
- Process, review, and prepare invoices for payment.
- Generate accounts payable warrants and payment disbursements.
- Maintain vendor records, including collection and maintenance of W‑9 forms and related documentation.
- Respond to vendor inquiries and resolve payment discrepancies in a timely and professional manner.
- Assist school and department staff with purchase requisitions, purchase orders, and related purchasing processes.
- Enter and maintain purchase orders for the Business Office.
- Assist with financial reporting, analysis, and reconciliation as assigned.
- Monitor grant expenditures and assist with grant reimbursement requests and fund drawdowns.
- Support annual financial audits through the preparation and collection of required documentation.
- Maintain accurate financial records and prepare reports, spreadsheets, and correspondence as assigned.
- Assist the Assistant Superintendent for Finance & Operations with confidential financial, operational, and administrative matters.
- Provide support to Business Office personnel during periods of high workload or staff absences.
- Establish and maintain effective working relationships with district staff, vendors, municipal officials, and the public.
- Perform other duties and responsibilities as assigned by the Assistant Superintendent for Finance & Operations.
- Associates degree required;
Bachelor's degree in Accounting, Business Administration, Finance, or a related field preferred, or an equivalent combination of education and experience. - Experience in accounts payable, municipal or school finance, accounting, or business office operations preferred.
- Proficiency with Microsoft Office, particularly Excel.
- Experience with Munis or comparable municipal financial software preferred.
- Knowledge of Massachusetts school finance, procurement, and accounting practices is desirable.
- Demonstrated organizational skills, attention to detail, and ability to manage multiple priorities.
- Strong written, verbal, and interpersonal communication skills.
- Ability to maintain confidentiality and exercise sound professional judgment.
- Full-time, twelve (12) month position
- Salary and benefits in accordance with applicable agreements and district policies
