Job Description

  • The Administrative Functional Support I role supports day-to-day functional operations and applies IT systems within a defined organizational unit.
  • This position prepares routine reports, maintains records, and supports administrative processes across various departments including EHS, R&D, Marketing, IT, Sales, Legal, Project Management, HR, Finance, and Customer Services.
  • The role requires working within established procedures while managing multiple routine processes and addressing standard operational inquiries.
Responsibilities
  • Perform daily functional and administrative operations using IT systems and office applications.
  • Prepare specialized routine reports, correspondence, and statistical summaries.
  • Maintain records and filing systems, including data entry into standard and specialized software systems.
  • Complete routine reports to support departmental decision-making processes.
  • Administer programs, projects, and processes specific to the assigned organizational unit.
  • Deliver a full range of services within a defined technical or administrative area.
  • Operate major components or full spectrum of dedicated standard software packages.
  • Handle routine and non-complex inquiries from internal and external customers.
  • Gather and file information obtained through routine customer service interactions.
  • Manage inbound calls in first-level support scenarios using established procedures.
  • Conduct outbound calls following structured scripts and information frameworks.
Impact
  • Select appropriate solutions from defined procedures to address changing work situations.
  • Apply or adapt the correct procedures to resolve routine operational issues.
  • Escalate unexpected or complex situations for technical assistance or authorization.
  • Manage multiple routine processes effectively within established guidelines.
Required Knowledge and Skills
  • Basic knowledge of standardized work routines, methods, and procedures within the assigned functional area.
  • Familiarity with office, production, or laboratory environments as applicable.
  • Ability to operate within a limited range of user interfaces and standardized software programs.
  • Strong organizational and multitasking skills.
  • Effective written and verbal communication skills.
  • Ability to follow structured guidelines and procedures accurately.
Experience
  • Two-year vocational training required.
  • Up to one year of related experience preferred.
Qualification And Education
  • Completion of a structured two-year vocational training program in a related field.
  • Basic theoretical and practical knowledge gained through vocational training and limited professional experience.
