The Administrative Assistant III provides a variety of standard and advanced administrative functions to a Functional and/or Site Leadership Team member(s) and their departments.
Major Accountabilities Documentation & Data Management- Compose, format, and handle confidential and non-routine documents, correspondence, and executive-level presentations.
- Establish and maintain complex filing systems, databases, and spreadsheets.
- Photocopy, collate, and distribute documents; sort mail, determine priority, and respond to inquiries appropriately.
- Manage calendars via Microsoft Outlook and coordinate extensive domestic and international travel arrangements, including itineraries.
- Coordinate all logistics for on-site and off-site conferences, meetings, and events, including catering, hotel accommodations, travel, and agendas.
- Support hiring by scheduling interviews, arranging candidate travel, and processing manual expense reports.
- Coordinate new hire onboarding (IT, phone setup, business cards, desk space) and offboarding (collection and return of company property).
- Maintain departmental supplies, equipment, and facility lockers (combinations, assignments, annual cleanouts).
- Maintain and update departmental organizational charts and contact lists.
- Screen and redirect telephone calls, host visitors, process expense reports via online systems, and provide backup support to other administrative assistants.
- Handle all confidential material with discretion.
- Minimum 4 years’ supporting management in an office environment; experience supporting multiple managers simultaneously preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and standard office equipment (copiers, fax, telephone/web conferencing).
- Proactive, flexible, and strong multitasker with excellent interpersonal, written, and verbal communication skills.
- Strong attention to detail with the ability to maintain strict confidentiality.
- Availability for overtime and off-hours as required.
- Must be onsite 5 days per week
- Minimum:
High school diploma. - Preferred:
Secretarial/business school certificate and/or A.S. or B.S. degree.
