DescriptionAre you an experienced Veterinary Receptionist, Lead CSR, Veterinary Client Service Representative, or Veterinary Front Desk Supervisor looking to take the next step in your career? Doral Centre Animal Hospital is seeking a Lead Veterinary Receptionist and Client Service Supervisor to help lead, develop, and inspire our growing Client Service team. This is not an entry‑level position. We are looking for a confident veterinary professional who thrives in a fast‑paced veterinary hospital, enjoys coaching and mentoring others, and understands the critical role the front desk plays in delivering an exceptional client experience.
As the leader of our Client Service team, you will serve as the bridge between pet owners, veterinary professionals, and hospital leadership—ensuring every client interaction reflects our commitment to compassionate care, operational excellence, and outstanding service.
- Lead daily front desk operations and client service workflows
- Ensure exceptional client experiences from check‑in through discharge
- Support appointment scheduling, client communication, and hospital flow
- Manage client concerns, service recovery, and escalated situations
- Maintain accurate medical records, invoicing, and client documentation
- Assist with recruiting, interviewing, onboarding, and training new CSRs
- Coach and mentor Client Service Representatives to support performance and growth
- Conduct performance evaluations and ongoing development conversations
- Foster a positive, accountable, and collaborative team culture
- Help create clear expectations and consistent service standards
- Ensure client callbacks, follow‑up communication, and front desk responsibilities are completed efficiently
- Identify workflow opportunities and implement process improvements
- Co‑lead monthly CSR team meetings with hospital leadership
- Support implementation of hospital initiatives and operational changes
- Partner with leadership to improve efficiency, communication, and client satisfaction
- Review Accounts Receivable reports and assist with collection efforts
- Support billing accuracy, financial compliance, and front desk accountability
- Assist with operational reporting and hospital performance initiatives
- Minimum 2+ years of experience in a Veterinary Hospital, Emergency Veterinary Hospital, Specialty Hospital, Urgent Care, or General Practice setting
- Previous experience as a:
Veterinary Receptionist, Client Service Representative (CSR), Veterinary Front Desk Coordinator, Lead Receptionist, Medical Receptionist, Client Service Supervisor
- Experience training, mentoring, coaching, or leading team members
- Strong conflict resolution and client service skills
- Ability to manage multiple priorities in a fast‑paced environment
- Strong organizational and communication skills
- Prior supervisory or leadership experience within a veterinary hospital
- Experience with Instinct, ezyVet, Cornerstone, AVImark, or other veterinary software platforms
- Familiarity with Accounts Receivable processes and front desk performance metrics
- Bilingual English and Spanish highly preferred
- A natural leader who enjoys developing others
- Passionate about veterinary medicine and client service
- Organized, detail‑oriented, and solutions‑focused
- Comfortable navigating difficult client conversations
- Able to remain calm and professional during busy or high‑pressure situations

- Flexible availability required
- Ability to support evenings, weekends, and holiday rotations as needed
