Position OverviewThe Early Talent Program Coordinator supports the successful delivery of large-scale student onboarding and program administration activities. This role works closely with the Early Talent Program team, Hiring Managers, Students, and internal stakeholders to ensure smooth operations, timely onboarding, and a positive program experience. The ideal candidate thrives in a fast-paced environment, is highly organized, and provides exceptional service to both Managers and Students.
This is a temporary seasonal role with peak workload occurring before and during Student onboarding waves. Some extended working hours may be required during high-volume periods. Training and workflow guidance will be provided in advance of the seasonal cycle.
- Program Setup & Support
- Participate in initial program discovery sessions and help establish agreed-upon workflows.
- Provide a high-touch support model in collaboration with a dedicated Account Team and digital onboarding tools.
- Develop and distribute change management communications as needed.
- Onboarding & Documentation
- Manage high volume Student onboarding aligned with targeted May/June start dates.
- Manage the Vendor Management System (VMS) for new hire setup.
- Partner with the internal onboarding team to administer required pre-employment screenings in accordance with Abb Vie standards.
- Deliver and support digital letters of intent for employment.
- Manager & Student Engagement
- Host program orientations for Students and support Managers with program-related questions.
- Provide timely, professional support throughout the program lifecycle.
- Coordinate interactions with parents for minor participants and assist with Student visa support when required.
- Payroll, Reporting & Program Administration
- Process weekly payroll.
- Send end-of-season satisfaction surveys to Managers and Students.
- Experience in HR operations, Early Talent programs, onboarding, or administrative support (internship or prior work).
- Strong organizational skills and ability to manage high-volume tasks with accuracy.
- Excellent written and verbal communication skills.
- Comfort working in digital systems and established workflows.
- Ability to maintain confidentiality and handle sensitive information.
- Experience supporting early talent, internship, or student programs.
- Knowledge of HRIS, ATS, or payroll systems.
- Familiarity with compliance-driven onboarding processes.
- Customer service-oriented with a focus on delivering a positive stakeholder experience.
- Ability to sit for extended periods of time.
- Bachelor's degree or equivalent work experience required.
