Position Overview
This is a per diem position. Weekends and 2nd shift coverage needed. Providence Place at Ingleside is an exceptional 55-plus active adult independent living community and retirement community located on a scenic hilltop in Holyoke, Massachusetts. We work diligently to enhance the senior independent living experience and offer a variety of programs for our residents to maintain an active lifestyle. Performs various functions of a secretarial nature including answering and routing phone calls, sorting incoming staff/resident mail, typing and copying reports.
Exhibits politeness and courtesy towards visitors, cooperates with staff, and keeps confidential all matters relating to the facility.

PrimaryJob Responsibilities and Duties
- Answers all incoming phone calls by the third ring clearly and concisely identifying the facility, routes calls to the proper person, pages appropriately, or takes messages.
- Ensures customer satisfaction by greeting and directing visitors in a polite, helpful manner, demonstrating respect and regard for all residents, families, and co‑workers to maintain a professional, responsive, and courteous environment.
- Sorts and directs mail and deliveries in a timely fashion to the proper person or department, performing various secretarial duties.
- Maintains complete confidentiality regarding resident and facility business.
- Maintains a high standard of employee conduct in accordance with Federal, State, Local, and THSC standards.
- Follows all safety, security, infection control, and hazardous materials policies and procedures; performs all tasks to ensure resident and personal safety and protect co‑worker and facility property.
- Follows emergency protocols as the first responder to safety, resident, or building events as first line staff or first contact.
Skills and Abilities
- Must be able to read, write, and converse in English; demonstrate ease with multitask assignments. Requires a high school diploma or equivalency, sufficient maturity, social, and computer skills, and a current, valid driver’s license.
- Attends all mandatory SPHS yearly in‑services on resident rights, safety, right to know, and blood borne pathogens per DPH regulations. Attends CSR in‑services quarterly and other training as needed.
- Requires moderate physical effort and mobility on a regular basis, including continuous sitting with frequent standing, walking, bending, stooping, reaching, lifting, pushing, and pulling.
- Hours may vary due to weekend and holiday scheduling, and some stress may arise from deadline demands.
- Reports to Business Office Clerk.
- May assist in departmental training with new procedures and policies.
- Has no other responsibility for supervising the work of other employees.
