This is an Accounts Receivable;
Accounts Payable & Payroll Specialist position and is responsible for managing the Firm’s financial transactions. This position ensures accurate and timely processing of accounts receivable, accounts payable, payroll, and financial records while maintaining compliance with Firm policies and applicable regulations. This position plays a critical role in ensuring accurate billing, timely collections, vendor payments, payroll processing, and compliance with applicable accounting standards and legal industry requirements.
The ideal candidate is highly organized, detail-oriented, and capable of handling multiple priorities in a fast-paced environment.
- Process and post client payments received by check, ACH, wire transfer, and credit card.
- Reconcile daily cash receipts and deposits.
- Research and resolve payment discrepancies.
- Maintain accurate financial records and supporting documentation.
- Assist with accounts receivable reporting as needed.
- Review, verify, and process vendor invoices and employee expense reimbursements.
- Ensure proper coding and approval of invoices.
- Prepare and process weekly and monthly check runs and electronic payments.
- Reconcile vendor statements and resolve discrepancies.
- Maintain vendor files, W-9s, and payment records.
- Assist with annual 1099 reporting.
- Process semi-monthly payroll for attorneys and staff.
- Review timesheets, PTO balances, payroll adjustments, and deductions.
- Maintain employee payroll records and ensure confidentiality.
- Coordinate benefit deductions, garnishments, and tax with holdings.
- Assist with payroll tax filings and year-end processing.
- Respond to employee payroll inquiries.
- Perform bank reconciliations.
- Prepare journal entries and account reconciliations.
- Assist with month-end and year-end closing processes.
- Maintain accounting records and support documentation.
- Support annual audits and financial reviews.
- Prepare financial reports as requested by Firm leadership.
- Assist with budget tracking and special accounting projects.
- Maintain confidentiality of all employees, clients, and Firm financial information.
- Collaborate with attorneys, legal assistants, and administrative departments regarding accounting-related matters.
- Provide exceptional customer service to internal and external stakeholders.
- Perform other duties as assigned.
- Strong knowledge of accounting principles and payroll practices.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Experience with accounting and payroll systems.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and manage sensitive information.
- Effective verbal and written communication skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Minimum of 3‑5 years of accounts receivable, accounts payable, payroll, and general accounting.
- Experience with payroll processing and accounting software required.
- Associate or bachelor's degree in accounting, Finance, or Business Administration preferred.
